Reconciling all transactions in the bank statements first verifies that every transaction in your QBO feed is real. No duplicates and no missing entries that could affect your clearing account balances. We recommend starting at the oldest unreconciled bank statement and working forward. And remember: if this part feels too overwhelming, the Mavens are ready to help!

How to reconcile a bank statement in QBO:
1. Categorize all transactions first
2. Enter the statement ending balance and date
3. Match your numbers to the statement
4. Finish now, but only at $0.00 difference

And the rule nobody tells you is do not force it to zero with an adjustment just to close the month. That doesn't fix anything, it just moves the mess to your balance sheet.

What does reconciliation actually mean? Because it sounds way more complicated than it is. Reconciling means proving that what your books say happened actually happened, by checking them against an outside source you can't edit, like your bank statement or Shopify payouts report. Reconciled books are books you can trust enough to make decisions from.

You built the business by being all of those people at once and that is how e-commerce brands actually get off the ground. The Bookkeeper hat is the first one worth handing off, and it usually pays for itself in cleaner numbers and calmer months. If the hat is getting heavy, that is a sign and NOT a failure.

Make sure to watch for these with your Shopify bookkeeping!
Watch for these:

1. Your P&L says profit, but your bank account does not agree. That is inventory or merchant fees hiding in the wrong place.
2. Reconciling takes days instead of hours. Clean books reconcile in a checklist, not a scavenger hunt.
3. You do not trust your own balance sheet. Inventory looks off. Sales Tax Payable is negative. That is not a glitch. That is your books telling you the foundation was not built for e-commerce.

Part 1 covered the foundation of clean e-commerce books. Part 2 covers the areas where even sellers with good systems tend to have gaps. This time we're getting into the parts of e-commerce bookkeeping that need ongoing attention, not a one-time setup. Inventory, sales tax, report reviews, and year-end details.

Most chart of accounts templates were built for regular businesses then Shopify sellers get handed the same template and wonder why nothing reconciles.

Here's what a regular business COA is missing for e-commerce:
•No clearing account for Shopify Payments, so payouts never match sales cleanly.
•No sales tax liability line, so collected tax shows up as revenue when it isn't.
•No landed cost mapping, so freight and duties get lost in "shipping" instead of adding to inventory value.
•No contract labor account, so 1099 tracking becomes a January forensic project.
•No multi-channel separation, so Amazon, TikTok Shop, and wholesale deposits all pile into one bucket.
