Forget haunted houses. Some of the things I hear from business owners are scary enough. 👻

And while I might laugh a little (and cry internally), these are the kinds of things that can turn into some pretty expensive problems.

Mixing personal and business finances, skipping reconciliations, misclassifying employees, and not understanding how to properly pay yourself can all come back to haunt you.

The good news? Most of these mistakes are completely avoidable.

I’m not here to judge how you’ve been running your business. Most business owners aren’t accountants, and I don’t expect them to be. That’s literally why people like me exist.

I’d much rather help you fix something now than watch you deal with a financial nightmare later.

So tell me, what’s the scariest business advice you’ve ever been given? 🎃

Not every coffee run is a business write-off just because you answered emails while drinking it ☕️😂

If you’re meeting with a client, vendor, employee, or other business contact for a legitimate business purpose, that coffee may qualify as a business meal expense. Traveling away from your tax home for business can also change the rules.

But grabbing your usual latte so you can sit down and work? Generally personal. And yes, this includes my own coffee addiction too. 😂

The biggest thing: business purpose matters. Keep the receipt, document who you met with + why, and don’t assume swiping the business card automatically makes something deductible.

Save this for your next coffee run ☕️

General bookkeeping/tax information only — always check with your tax professional for your specific situation.

Before a business owner hires me, they should probably know a few things 😂

I hate eggplants and mushrooms, I foster dogs when I can, and yes—I’m a bookkeeper, but I’m not the “cheap and just categorize transactions” kind.

I care about your business beyond tax time. I want you to actually understand your numbers, know where your money is going, and feel confident making decisions with them.

Because bookkeeping shouldn’t just be something you do to keep the IRS happy. It should help you run a better business.

And apparently knowing my food enemies is important too. 😂

September is that weird in-between month where summer is wrapping up, the holidays are suddenly right around the corner, and somehow Q4 is already staring us in the face. 😂

So consider this your little business-owner lock-in list:

✔️ Get those accounts reconciled
✔️ Make sure Q3 taxes are handled
✔️ Follow up on the invoices that have been sitting a little too long
✔️ Actually look at your YTD P&L
✔️ Start thinking ahead about holiday time off

Nothing dramatic. Just a few things now that can make the end of the year feel a whole lot less chaotic.

And yes, I fully support grabbing your favorite local coffee before you sit down to do any of it. ☕️🔒

Quarter 4 is where “I think we’re doing okay” needs to turn into “I know what the numbers are telling me.” 👀

This is your reminder that projections don’t have to be complicated. Start with what you already know — your average revenue, what’s already booked, your actual capacity, and your expected expenses.

Then look at three versions of the next few months:

The good: things outperform expectations.
The normal: business keeps moving at its usual pace.
The ugly: sales slow down, expenses pop up, or something unexpected happens.

The goal isn’t to predict the future perfectly. It’s to have a plan before you’re in the middle of it.

Because when you know what you’ll do in each scenario, it’s a lot easier to make decisions about hiring, spending, pricing, taxes, and growth without panicking.

Your bookkeeping should help you make decisions — not just tell you what happened last month. 💚

Labor Day is a good reminder that business owners are working way more hours than what shows up on an invoice.

Client work is only part of it. There’s emails, DMs, admin, ordering, employees, bookkeeping, planning, fixing things that randomly break… all the stuff behind the scenes that still takes your time.

So this month, try tracking all of your working hours — not just the billable ones.

Then take a look at what you actually made compared to how many hours you worked.

Because sometimes a business can look profitable on paper, but once you factor in your time… the math gets a little rude. 😂

And if you look at that hourly rate and think, “yeah, absolutely not,” that’s your sign to look at pricing, expenses, systems, or all three.

Your time is part of the cost of running your business too. 💚

Fall is basically the unofficial “get your business together before year-end” season 🍂

A little September reset can save you a whole lot of stress later — check those subscriptions, make sure your books are caught up and reconciled, take care of any upcoming tax deadlines, and start looking ahead to Q4.

You do not want to be trying to figure out an entire year of bookkeeping in December while also running your business, handling the holidays, and wondering where the heck half your receipts went. 😂

A little cleanup now = a much easier year-end.

And hi, I’m Michaela 👋 the bookkeeper behind Green’s Bookkeeping Services. I’m here to make the numbers feel a little less overwhelming. 💚
