You started your business or stepped into nonprofit leadership because you had something you wanted to accomplish. Chances are, nobody sat you down and taught you everything you needed to know about managing the financial side of things.

Yet somehow, you’re expected to know.

What records should you keep? How do you know if your financial reports are telling you what you need to know? Are you handling business expenses correctly? What about budgets, documentation, and all those financial responsibilities that seem to come with more questions than answers? And where do you go when you have a question you feel like you should already know the answer to?

That’s why I created the Financial Clarity Collective.

It’s a place where business owners and nonprofit leaders can learn to understand their finances without confusing jargon or feeling judged for what they don’t know.

Inside, you’ll find:

✅ Step-by-step lessons that explain financial responsibilities in plain English, so you can understand what needs to be done and why it matters.

✅ Practical checklists, templates, and tools that help you get organized, stay on top of important tasks, and spend less time figuring out what to do next.

✅ Guidance to help you understand what your numbers are telling you, make more informed decisions, and feel more confident handling your financial responsibilities.

✅ A supportive community where you can ask questions, learn alongside others, and stop feeling like you have to figure everything out on your own.

You don’t have to become a bookkeeper or figure everything out on your own. You just need a place to start and some guidance along the way. You can work through the resources at your own pace, focusing on whatever financial responsibility needs your attention right now. The goal is to help you feel more confident, stay organized, and make financial decisions with a better understanding of what’s happening in your business or nonprofit.

Try the Financial Clarity Collective free for 7 days. If you decide to stay, Standard membership is just $9 a month.

We Have an Office Update We Really Didn't Want to Make

It’s Hedy, Max, and Pepper.

Usually when we take over this page, there’s some sort of office situation that requires our attention.

Balls. Treats. Suspicious delivery drivers. Questionable management decisions by Momma Sarah.

This time is different.

This morning we lost our Senior Advisor Emeritus, Zach.

Zach was here longer than any of us. Before there was an Office Dogs leadership team, there was Zach.

He knew how things worked around here.

He knew which beds were the best.

He knew that most problems could be handled without actually getting up.

And he had reached the point in his career where the rest of us could run around handling security, employee relations, and whatever else needed doing while he supervised from somewhere comfortable.

We may have given him a funny job title, but he really was our senior member.

The office is going to feel different without him here.

Momma Sarah probably won’t know what to do without Zach lying right beside her chair. He made sure he was close enough that she usually had to climb over him just to get out of it. Apparently, supervising Momma Sarah required very close supervision.

We’ll do our best to keep things running.

Although we should probably admit that without Zach supervising us, Momma Sarah may have her hands full.

We’re going to miss you, old man.

More than we know how to say.

We Need to Discuss Pepper’s Hiring Authority

It’s the Penny Clear Office Dogs.

We recently discovered that Pepper, Director of Employee Relations, has added a new member to the staff.

This is Yeti.

We were not consulted. There was no application. No interview. No background check.

We’re not entirely sure what qualifications Yeti brings to Penny Clear Bookkeeping.

Pepper says Yeti is an excellent listener, doesn’t complain about meetings, is always available when employee morale is low, and makes a very good pillow.

We pointed out that Yeti also appears to spend most of the workday lying on the floor. Zach said that sounded like an unfair criticism of a perfectly legitimate management style.

So Yeti stays. Apparently.

A Message from Senior Management

Zach here.

Senior Advisor Emeritus.

Apparently the younger members of the Penny Clear Office Dogs have been making decisions.

There have been meetings.

New policies.

Security investigations.

And an ongoing dispute involving a ball.

Nobody consulted me.

Now, I’ve been around here longer than any of them. I’ve learned something very important during that time:

Not everything requires your participation.

Sometimes the best management strategy is to lie on your bed, watch everybody else create unnecessary problems, and wait for them to figure it out.

This is called experience.

However, I have reviewed the recent activities of the Office Dogs and determined that some senior-level intervention may be necessary.

So I’ve called a meeting.

It will begin as soon as somebody brings the meeting to me.

I’m not getting up.

Twenty-five years ago, September 11 began as an ordinary Tuesday morning.

People went to work. Families said goodbye for the day, expecting to see one another that evening. First responders answered calls without knowing what they were walking into, and strangers helped each other through fear and confusion.

By the end of that day, thousands of lives had been lost and countless others had been changed forever. Children grew up without parents. Families learned to live with an empty place that time could never completely fill, and many survivors and first responders carried the physical and emotional effects for years afterward.

Twenty-five years later, we remember the people who never came home. We remember those who ran toward danger to help, those who served in the years that followed, and the families who have carried their loss every day since.

May we never allow the passing of time to make September 11 feel like just another date on the calendar.

A chart of accounts with “Office Supplies,” “Office Expense,” and “General Office Purchases” looks detailed until someone has to decide which one to use.

After a few months, similar purchases are scattered among all three. Comparing expenses takes more work, and the longer profit and loss statement still doesn’t provide better information.

Before adding a new account, look through the ones already there. If an existing account covers the expense and gives you the information you need, use it consistently.

Separate accounts are useful when the distinction matters to reporting or decision-making. If the accounts are always combined again whenever anyone discusses the numbers, they probably aren’t providing meaningful detail.

A reconciled bank account is important, but it doesn’t prove that everything in the QuickBooks file is correct.
The transactions may agree with the bank while income is going to the wrong accounts. Old balances can remain on the balance sheet, and a duplicated transaction may have been marked cleared along with the original.
When the books are current but the reports still don’t seem believable, changing a few numbers until they look better isn’t a safe starting point. Someone needs to follow the transactions, review the setup, and find out where the reports stopped reflecting what actually happened.
That’s the purpose of our QBO Diagnostic Health-Check. We review the file first, explain what we find, and recommend the next step based on the condition of the books.

A customer pays $100, but the deposit showing in the bank feed is $96.80.

The missing $3.20 may be the payment-processing fee. If the $96.80 deposit is recorded as sales income, QuickBooks will agree with the bank while the reports understate both the sale and the fee.

The books should show the full $100 sale, a $3.20 processing expense, and the $96.80 that reached the bank. Now the sales records, expenses, and bank deposit can all agree without forcing one number to stand in for three different pieces of the transaction.

A few dollars on one payment may not attract much attention. When the same shortcut is used throughout the year, the difference stops being small.
