WHAT DO YOUR NUMBERS REALLY MEAN?

Your bookkeeping numbers are more than figures on a Profit & Loss report. They tell the story of how your business is performing.

📊 REVENUE
Shows how much your business is bringing in.

💰 EXPENSES
Show where your money is going and whether your spending supports your goals.

📈 PROFIT
Shows what is left after expenses—but profit alone does not always mean you have cash available.

🏦 CASH FLOW
Shows how money moves in and out of your business and whether you can cover upcoming bills.

📋 ACCOUNTS RECEIVABLE
Shows what customers still owe you.

🧾 ACCOUNTS PAYABLE
Shows what your business owes to others.

WHEN YOUR BOOKS ARE ACCURATE AND UP TO DATE, YOUR NUMBERS CAN HELP YOU:

✅ Identify profitable products or services
✅ Control unnecessary expenses
✅ Plan for taxes
✅ Manage cash flow
✅ Make informed business decisions
✅ Know when it is time to grow, save, or adjust

YOUR BOOKS SHOULD DO MORE THAN RECORD TRANSACTIONS.

They should help you understand your business and make confident financial decisions.

THINK YOU KNOW HOW TO DO YOUR OWN BOOKKEEPING?

You might be doing everything “right” in QuickBooks…

…but are your books actually RIGHT? 👀

❌ Transactions categorized incorrectly
❌ Personal & business expenses mixed together
❌ Bank accounts not properly reconciled
❌ Sales tax recorded incorrectly
❌ Income or expenses missed
❌ Profit & Loss reports that don’t tell the real story
❌ Deductions overlooked
❌ Books that look fine…until tax time

QuickBooks can record the numbers.

But it doesn’t know your business like a bookkeeper does.

Your books should do more than show you a balance.

They should help you understand your business, prepare for taxes, and make better financial decisions.

💰 Your Business Is Making Money… But Do You Know WHERE It’s Going?

Sales are coming in. Bills are being paid. Your bank account looks okay.

But if you can’t quickly answer:

➡️ What was my actual profit last month?
➡️ What am I spending the most money on?
➡️ Who still owes me money?
➡️ Am I spending more than I did last year?
➡️ Am I financially ready for tax time?

You don’t need to work harder—you need better books. 📚

Good bookkeeping isn’t just about recording transactions. It’s about giving you the information you need to make better business decisions.

✨ Professional Books can help you keep your books organized, accurate, and up to date—so you can focus on running your business.

💡 DID YOU KNOW?

A business expense being tax-deductible doesn’t mean you get that entire amount back from the IRS.

For example:

If your business spends $10,000 on a legitimate deductible expense, you generally don’t get a $10,000 refund.

Instead, that expense reduces your taxable business income by $10,000.

So if your effective tax rate were 25%, that $10,000 deduction could reduce your federal income tax by roughly $2,500—not $10,000.

📌 Why this matters:

Don’t spend money just because someone tells you, “It’s a write-off!”

The better question is:

“Does this expense make good business sense?”

A tax deduction can reduce your tax bill, but you still spent the money.

💰 Save this for tax time!

And remember: keeping accurate books throughout the year makes it much easier to see where your money is actually going.

🚨 BOOKKEEPING MISTAKE THAT CAN MAKE YOU THINK YOU’RE MORE PROFITABLE THAN YOU ARE

Here’s one I see more often than you’d think:

Credit card payments being recorded as expenses.

Let’s say your business puts $5,000 of legitimate expenses on a credit card.

Those expenses should be recorded when the purchases happen.

Then you pay the $5,000 credit card bill.

🚫 That payment is not another $5,000 expense.

It’s a payment toward a liability you already recorded.

If both the purchases and the credit card payment are recorded as expenses, your books could show $10,000 of expenses when you actually spent $5,000.

That can completely distort your Profit & Loss.

This is one reason simply connecting your bank and credit cards to QuickBooks doesn’t automatically mean your books are correct.

Your software can import the transactions.

Someone still needs to understand what they are. 📊

🚨 BOOKKEEPER CONFESSION:

I can usually tell when a business owner says…

“QuickBooks does all that for me.” 😂

QuickBooks is a tool.

It can import transactions.
It can categorize transactions.
It can create reports.

But it doesn’t know that the $3,200 transfer was actually a loan payment.

It doesn’t know that the $1,500 deposit was for an invoice from three months ago.

It doesn’t know that the “office supplies” purchase was actually something personal.

And it definitely doesn’t know what your numbers should look like for your business.

👉 Software records numbers. A bookkeeper understands them.

If you’re trusting your financials without actually knowing what’s behind them…

We should probably talk. 😏

💰 Your bank account is NOT your profit & loss statement.

Just because there’s $50,000 sitting in your business account doesn’t mean you made $50,000.

And just because your account is low doesn’t necessarily mean your business is struggling.

There are payroll expenses, credit card payments, loan payments, owner draws, transfers, deposits that haven’t been recorded correctly, expenses sitting in the wrong categories…

This is exactly why your numbers matter.

A good bookkeeper doesn’t just enter transactions.

We help you understand what those transactions are actually telling you about your business.

📈 Are you profitable?
💸 Where is your money going?
📊 Which expenses are eating into your profit?
💡 Can you actually afford that next big purchase?

Numbers tell a story. Make sure yours are telling the right one.

💰 TAX TIP: Don’t Confuse Revenue With Profit!

Your business made $200,000 this year… but that doesn’t mean you made $200,000.

💵 Revenue: $200,000
📉 Business expenses: $140,000
💰 Net profit: $60,000

Taxes are generally based on taxable income/net profit, not simply the money that came into your bank account.

Pro tip: Keeping your books accurately throughout the year helps you see what you’re actually making—and can help you avoid surprises at tax time.
