Have you ever wondered why money is sitting in “Undeposited Funds” in QuickBooks?

Undeposited Funds is a temporary holding account for payments you’ve received but haven’t recorded as a deposit into your bank account yet.

If it’s not handled correctly, you can end up with deposits that don’t match your bank statement, income that looks wrong, or transactions that need to be cleaned up later.

It’s a small QuickBooks detail, but it’s important to getting your books right.

If you do your own bookkeeping, when was the last time you checked your Undeposited Funds account?

When the bookkeeper asks what that expense was for… 😂

One of the hardest parts of catching up on bookkeeping is trying to figure out what all those old transactions were for.

Keeping up with your books makes things a whole lot easier, for you and your bookkeeper.

If you’ve fallen behind, you don’t have to fix it all at once. I can help.

What are you really saving by doing your own bookkeeping?

Sure, you’re not paying someone to do it.

But how many hours are you spending every month categorizing transactions, reconciling accounts, fixing mistakes, and trying to figure out what your numbers are actually telling you?

And what could you be doing with that time instead?

Sometimes the cheapest option on paper isn’t the one that costs you the least.

Are you looking to…

• Hire another employee?
• Buy a new piece of equipment?
• Take out a loan or line of credit?
• Move into a bigger space?
• Take on a bigger job?

Before making a big decision for your business, it helps to know where your business actually stands.

Are your books up to date? Do you know how much you’re making, what you’re spending, and what you can realistically afford?

Good bookkeeping isn’t just about knowing what happened last year. It can help you make better decisions about what comes next.

That’s one of the reasons I believe keeping your books up to date is so important.

Most small business owners start out doing their own bookkeeping, or their spouse helps with it.

And honestly, that makes sense.

When the business is small, there may not be that much to keep up with.

But as the business grows, so does the bookkeeping.

At some point, it can become more complicated, take more time than you want to spend on it, or simply start taking away from your evenings and weekends.

That’s where I come in.

I help small business owners keep their books organized and understand what’s going on in their business, so they can spend their time running the business instead of keeping up with the books.

If you’ve reached that point, feel free to reach out.

Been putting off your bookkeeping because you just don’t have the time?

Maybe you started the year with good intentions, but now you’re several months behind.

That’s okay. You don’t have to fix it all at once.

A cleanup and catch-up project can get your books back on track and give you a clear picture of where your business stands.

If your bookkeeping has gotten away from you, send me a message. Let’s get it caught up.

Today I was talking with a potential client about his bookkeeping, and he mentioned that his accountant takes care of his books for tax purposes.

That got me thinking about the difference between bookkeeping for taxes and having your books kept up to date throughout the year.

When your books are balanced and reconciled monthly, you can look at your Profit & Loss each month and see how your business is actually doing.

You can see what’s working, what isn’t, and make more informed decisions while there’s still time to do something about it.

Waiting until the end of the year to find out how your business performed is a lot different than knowing throughout the year.

Bookkeeping isn’t just about getting your taxes done. It can be a tool to help you run your business.

I don't think every business owner needs to love bookkeeping.

Honestly, I don't even think you need to want to do it.

You just need to understand enough about your numbers to know how your business is doing.

Some business owners are perfectly capable of doing their own books. They just have better things they could be doing with those hours.

Working with customers.
Quoting jobs.
Following up on leads.
Getting work done.
Growing the business.

And if you're spending your evenings trying to figure out why something in QuickBooks doesn't look right, maybe your time is better spent somewhere else.

That's one of the reasons I do what I do.

You don't have to love bookkeeping. You just need to know that your books are giving you information you can trust.

Doing your own bookkeeping can save you money.

Doing it wrong can cost you a lot more.

When bookkeeping mistakes pile up, you might:

• Think your business is more profitable than it really is
• Make decisions based on inaccurate numbers
• Misclassify expenses or income
• Miss important deductions or record them incorrectly
• Have accounts that don’t reconcile
• Give your tax preparer inaccurate or incomplete financials
• Spend extra money having someone go back and clean everything up

And the tricky part?

Bad bookkeeping doesn’t always look bad.

Your bank account can look healthy while your books are telling you a completely different story.

Your bookkeeping isn’t just about keeping QuickBooks updated. It’s about making sure the numbers you’re looking at actually mean something.

If you’re doing your own books and aren’t sure they’re right, getting a second set of eyes on them now can save you a much bigger headache later.
