Trucking Books Start with the Settlement

That deposit hitting the bank is often only the final number in a much bigger trucking story.

A carrier settlement can include linehaul and accessorial revenue, fuel advances, fuel-card purchases, insurance, tolls, permits, escrow, and other deductions before the net amount is transferred.

If you record only the bank deposit, you can understate both revenue and expenses. The settlement statement, fuel-card activity, and bank transfer should connect and tell one complete story.

Transfer Is Not an Expense

Moving money from checking to savings does not create an expense. Neither does paying a business credit card from checking if the individual charges were already recorded.

Recording transfers correctly keeps expenses from being counted twice and keeps your reports honest. It is a little detail that can make a big difference.
