I’ve completed a few onboarding sessions this month and clients usually leave feeling like they should have known more than they did. But I try to encourage them not to feel bad because that’s why I’m here. When I complete an onboarding:

We go through a series of questions that uncover your goals and common transactions.

We set up your Quickbooks or ensure that I get added

We make sure that everything on Quickbooks is already set up completely if you j also have one.

We uncover the first step to getting started and getting you organized.

Business owners are busy. But are you busy doing the RIGHT things?

Yesterday, someone messaged me on another platform, and after hearing about what was going on in their business, I had an opportunity to educate them on some of their needs.

I asked if they had time to meet.

Their response?

They were really busy handling other business things.

So I asked:

“Do you have an assistant?”

And honestly, this is a question more business owners may need to ask themselves.

Sometimes you don’t need to work harder.

You need help.

But here’s the problem…

You may know you need an assistant, bookkeeper, virtual assistant, or another team member—but you don’t know if you can afford one.

That’s where understanding your finances becomes important.

Your numbers can help you determine:

➡️ What you can afford
➡️ How much you can pay
➡️ How many hours you can afford
➡️ Which tasks should be delegated
➡️ Whether the additional help makes financial sense

You can’t make informed staffing decisions if you don’t understand your numbers.

Being busy isn’t necessarily a sign that your business is growing.

Sometimes it’s a sign that you need better systems, better delegation, and better financial clarity.

So I’ve developed a routine. A few weeks ago I felt as if I should start creating systems in my business. Even though nothing was actually going on, I just felt like I should get prepared. One thing I’ve started doing doing is having business meetings with myself every Monday where I go over my marketing and tasks. Then every month I go over finances and operations. It’s a way to stay organized and stay on top of how my business is growing.

Think creating your QuickBooks account and pressing “Add” means your books are done? Not quite! 👀

If your books aren’t balanced or your Balance Sheet looks off, here are some areas you may need to check:

✅ Bank account registers — Compare the beginning and ending balances for each month to your bank statements.

✅ Customer payments — Make sure payments are matched to the correct invoices.

✅ Reconciliations — Reconcile each bank and credit card account and investigate discrepancies.

✅ Payroll — Make sure payroll is entered correctly and balances each month.

✅ Property assets — If you have properties, make sure the assets are set up correctly and payments are split appropriately between principal, interest, escrow, and other applicable amounts.

✅ Chart of Accounts — Make sure each account is set up correctly and transactions are being categorized appropriately.

But remember:

Don’t just make your books balance. Find out WHY they don’t balance.

A Balance Sheet that looks off could be a sign that something in your bookkeeping needs to be reviewed.
