Spoiler alert - we don’t know everything!!

Does your business use a software or platform that we’ve never even heard of?

Have no fear - we will learn it!! We aren’t afraid of hopping on a tutorial and getting it figured out.

Knowledge is growth, and we will never stop learning or claim to be know-it-alls around here. 🤓

“Wow yOur jOB soUnDs BoRing”

Okay but let me tell you about my day…..

9a-10a: met with a new client in prep for a huuuggeeee cleanup project next week. The weight of the room was heavy. The stress was there. When I left, there was a glimmer of hope in his eye and when I tell you I can’t wait to get going on this one!!

10:15-11a: went down the road and met with a long term client. Discussed recent changes, new goals, future dreams, and how we get there. Fractional CFO work - landed.

11:15-2:30: hurried back to the office to meet with a newer client. Discussed oddities, was presented new tools, and tasked with coming up with ways to make the entire operation more efficient. Then went for a walk down the road to see a recently installed solar tracker and learn the components, which then turned into another walk a little further down the road to tour the production shop and actually see how these things are built. Amazing.

Pretty big day for someone that says they don’t work Fridays 😎

Love my job and love all the different people I get to work with and random things I get to learn!

Would You Let Just Anyone Manage Your Business’s Finances?

Here’s something most business owners don’t realize: anyone can call themselves a “bookkeeper.” There’s no license required, no mandatory training, no certification you have to earn. Someone could decide to hang out a shingle tomorrow with zero experience.

That should scare you a little. It scares us.

Recording transactions sounds simple on the surface, but the details matter more than most people think. Real examples we see all the time:

📌 Buying a vehicle for the business — An untrained bookkeeper might record the full purchase price as an expense. In reality, that vehicle is a fixed asset that needs to be capitalized and depreciated over its useful life. Get it wrong, and your financials (and your tax return) are off.

📌 Payroll taxes — QuickBooks will happily dump the employee’s share of payroll taxes straight into a “tax expense” line by default. But a chunk of that is actually part of your total wage expense, not a standalone tax cost. Most people running payroll have no idea this is happening. Left uncorrected, your labor costs are understated and your reports don’t tell you the truth about what your employees actually cost you.

📌 Disposing of an asset — Selling or scrapping equipment isn’t just “delete it from the books.” You need to account for accumulated depreciation, calculate any gain or loss on the sale, and record it correctly. Miss this, and your balance sheet won’t reflect reality.

📌 Loan payments — A payment isn’t just one expense. It’s part principal, part interest, and they hit your books completely differently.

These aren’t edge cases. They’re everyday transactions that a lot of small businesses face, and getting them wrong compounds over time, creating a mess that costs far more to fix later than it would have cost to do right the first time.

When you’re vetting a “bookkeeper”, ask about their education, their credentials, and their experience with transactions like these. Your books are the foundation of every financial decision you make. They deserve someone who actually knows what they’re doing.

At Balanced Business Solutions, we bring real accounting expertise to every client relationship, not just data entry. Worry Less. Thrive More.

This photo came across my memories today, and I realized we haven’t posted about RFPs in awhile.

Let’s talk about it. Can’t live with them but literally can’t live without them, am I right?

I know first hand how it goes. You’re busy with your day to day tasks, and then the state throws a RFP at you with a 2 week deadline. When in the world are you supposed to fit in the time to get it done?!

That’s where I come in. Outsourcing needs such as RFP’s can be incredibly beneficial. Let me be the one to gather and organize the thousand documents they request, monitor the website because you KNOW they’re going to come out with multiple addendums, and make sure all your financial data is in tip top shape and everything reconciles perfectly.

In the past 7ish years that I’ve been involved with nonprofits, I have successfully obtained $2.5M in government funds from submitting accepted RFPs across several nonprofit organizations.

Managing a non-profit is tough; make the most out of your time and dollars and let someone else be stressed for you. 😊
