Have you looked at your subscriptions lately?

Subscriptions have a sneaky way of piling up.

$29 here.
$79 there.
$199 for software someone signed up for two years ago.

Individually, they may not seem like much. But $500 a month in subscriptions you no longer need is $6,000 a year.

Here’s your Tuesday coaching tip:

Pull up the last 90 days of your credit card and bank activity and look specifically for recurring charges.

For each one, ask:

• What is this for?
• Who is using it?
• Does the business still need it?
• Are we paying for another program that does the same thing?

Don’t cancel something just because it costs money.

Cancel it because it no longer earns its place in your business.

Your action item this Tuesday: Spend 15 minutes reviewing your recurring charges. You might be surprised by what you find.

In 1492, Columbus sailed the ocean blue...

And I’m pretty sure there were a few moments when things didn’t go exactly according to plan. 😂

Business ownership can feel a little like that.

You start with a destination in mind, make your plan, and head out.

Then reality shows up.

A client leaves.
An expense pops up.
A hire doesn’t work out.
Your pricing needs adjusting.
Or an opportunity appears that wasn’t anywhere on the original map.

The goal isn’t to run a business where nothing ever goes wrong.

It’s to recognize when you’re off course and make the adjustment.

Here’s to the business owners navigating the blunders, changing course when necessary, and continuing to move forward.

Happy Columbus Day!

Do you know which customers are actually worth the most?

Your biggest customer isn’t always your most profitable customer.

A customer who brings in $100,000 a year may look fantastic until you consider the extra labor, discounts, callbacks, rush work, materials, or special handling required to serve them.

Meanwhile, a $60,000 customer may require far fewer resources and leave considerably more profit behind.

Pick 3 of your larger customers and compare:

• Revenue from each customer
• Direct costs to serve them
• Extra labor or special handling
• Gross profit left after those costs

Your action item: Don’t just identify your biggest customers. Find out which ones are contributing the most to your business.

That information can help you make better decisions about pricing, where to spend your time, and what type of customer you want more of.

THE BUSINESS OWNER TRANSLATOR

What we say vs. what we actually mean. 😂

“I’ll just check one email.”
Translation: I’ll see you in 47 minutes.

“Can I ask you a quick question?”
Translation: Neither of us knows how long this is going to take.

“I’m going to leave early today.”
Translation: I have made an adorable little plan.

“I’ll take care of that tomorrow.”
Translation: I will remember it tonight at 2:17 a.m.

“I’m not working this weekend.”
Translation: I’m bringing my laptop home just in case.

“I finally caught up!”
Translation: Something new is about to happen.

Business ownership really should come with subtitles.

Which one would you add to the Business Owner Translator?

Your business account is not your personal wallet.

It sounds simple, but mixing business and personal spending happens more often than you might think.

You’re out running errands and grab the business card.

You pay a business expense personally because that’s the card you have with you.

You transfer money between accounts without clearly identifying why.

One transaction isn’t going to derail your business.

But when it becomes a habit, your books start telling a story that isn’t quite true.

Personal expenses can inflate business expenses. Business expenses paid personally can disappear from the books. Owner draws and contributions can be recorded incorrectly.

And suddenly the numbers you’re using to judge profitability aren’t as reliable as you think they are.

For an established business, that matters.

You’re making decisions about hiring, pricing, owner pay, equipment, cash reserves and growth. Those decisions deserve better information than “I think these numbers are pretty close.”

Your action item: Look through the last 30 days of activity in your business bank and credit card accounts.

If you spot personal spending, make sure it’s recorded correctly as an owner transaction, not buried in a business expense category.

And going forward? Give your business and personal money their own lanes.

If your business has grown but your bookkeeping hasn’t kept up, that’s where we come in.

Abacus Gal works with established service- and trade-based businesses, typically generating $750K–$3M in annual revenue with 3+ employees.

Thinking about hiring? Don’t let your bank balance make the decision.

One of the questions I hear from business owners is:

“Can I afford to hire another person?”

Looking at today’s bank balance won’t give you that answer.

A $50,000 employee doesn’t cost the business just $50,000.

Before you hire, estimate the real annual cost:

• Wages or salary
• Employer payroll taxes
• Workers’ compensation
• Benefits or allowances
• Software, equipment, phone or vehicle costs
• Training and onboarding
• The time it may take before that employee is fully productive

Now let’s say you estimate that $50,000 employee will actually cost the business $62,000 a year.

That’s about $5,167 per month.

Now you have a number you can use to make a decision.

Ask:

Can my current cash flow support another $5,167 every month?

If not, how much additional monthly revenue would this employee need to help generate?

And here’s the part I don’t want you to skip:

How much of that additional revenue will actually become gross profit?

If you need $10,000 in additional monthly sales to support the hire, but delivering those sales also requires $6,000 in materials, subcontractors or other direct costs, you don't have $10,000 available to pay for the employee.

You have $4,000.

That’s why “we need more help” and “we can afford more help” are two different questions.

Before you hire, calculate the real cost, look at the recurring monthly cash requirement, and determine how much additional gross profit the position needs to produce or support.

Now you’re making the hiring decision with numbers instead of your bank balance.

That’s what your financials should help you do.

Business owner forecast: 100% chance of something unexpected. ☀️⛈️🌈

Because if you’ve owned a business for more than five minutes, you know the forecast can change quickly.

A great opportunity shows up.

A key employee leaves.

A piece of equipment needs replacing.

A client you counted on disappears.

Or an opportunity comes along that you really want to say YES to.

The surprise isn’t always bad. But whether it’s exciting or expensive, there’s one question I want you to be able to answer:

Can your business afford it?

Not “There’s money in the bank.”

Not “I think we’ll be okay.”

Actually know.

That’s one of the reasons financial clarity matters. When something unexpected happens, you can look at your cash, upcoming obligations, profitability, and reserves and make a decision based on what your business can handle.

Your action item: Ask yourself today:

If my business had an unexpected $10,000 expense or opportunity tomorrow, would I know whether we could comfortably afford it?

No weather app can predict what business ownership will throw at you next. But your numbers can help you be ready for it.

A big thank you to Mike at T&T Plumbing & Mechanical for sharing these kind words about working with Abacus Gal.

Mike, we truly value having you as a client and appreciate the trust you place in us. It means a lot to hear how our work has made things easier for you and helped you feel more confident about your business.

And I have to say, I love the way he put it:

“She took my mess, figured it out, and made it easy.”

Sometimes that really is the best description of what we do.

When you’re running a plumbing company, HVAC business, electrical company, or another growing trade business, you already have enough to manage.

You shouldn’t have to spend your evenings trying to figure out why QuickBooks doesn’t make sense, whether the numbers are right, or where all the money went.

My job isn’t just to clean up the books.

It’s to get them right, help you understand what’s happening in your business, and give you financial information you can actually use when it’s time to make a decision.

Because you didn’t start your business to become a bookkeeper.

You started it because you’re good at what you do.

Thank you again, Mike. We value you, your business, and the opportunity to be part of what you’re building.

And if you’re great at your trade but your books are a bit of a mess, I promise, I’ve seen messes before. 😉

Let’s get them figured out and make it easier.

🚨 BOOKKEEPING FRIENDS...this one is for you!

Is your bookkeeping firm growing, but your systems haven't quite caught up with you?

Maybe too much still lives in your head.
Maybe you're the person everyone comes to for the answer.
Maybe you know you need better processes before you can grow the way you want to.

Have you met 𝗦𝗵𝗮𝗿𝗿𝗶𝗻 𝗙𝘂𝗹𝗹𝗲𝗿?

If you haven't, I think you should. ❤️

Sharrin helps bookkeepers build out the systems and processes they need to run and grow their firms without everything depending on them.

I recently had the opportunity to spend some time with her, and I was incredibly impressed by how she listens, asks the right questions, and helps you see where your firm needs stronger systems to support where you want to go.

She has created a community specifically to help bookkeepers work through this, and I wanted to make sure my bookkeeping friends knew about it!

I’m opening 5 spots for new clients before the end of 2026. 🎃🍂

I want to make sure anyone coming to Abacus Gal before year-end has enough time for us to properly review their books, clean up what needs attention, and head into 2027 with financial information they can actually use.

Does your business qualify?

• You generate approximately $750K–$3M in annual revenue
• You have 3+ employees
• You own an established service- or trade-based business
• You need more than someone simply entering transactions
• You want accurate books and financial information you can actually use to make better business decisions

Why five?

Because I’m not interested in piling on clients just because year-end is approaching. My team and I need the time to do the work well.

If your books are behind, you don’t completely trust your numbers, or you’ve simply outgrown the level of bookkeeping support you have today, this is a great time to make a change.

There are still three months left in 2026.

Plenty of time to get things cleaned up, gain some clarity, and start 2027 from a much better place.

Think your business might be one of the five?
