Preparing for Q4 as early as August sounds crazy

But it’s actually just enough time to get ahead of the things that become stressful when left until the last minute

Before Q4 begins, make sure these 5 things are in order:

1. Your financial numbers

You should know where your business stands before making your final decisions for the year

- Know your current revenue and profit
- Review your biggest expenses
- Check your cash flow
- Identify anything that looks unusual or needs attention

2. Your unpaid invoices

Money you’ve already earned should not be sitting forgotten in someone else’s account

- Check what is still outstanding
- Follow up on overdue payments
- Review customers who regularly pay late
- Make sure nothing has been missed

3. Your upcoming expenses

Knowing what is coming makes cash flow much easier to manage

- List major payments coming up
- Review subscriptions and renewals
- Plan for payroll and other regular costs
- Identify any large purchases you are considering

4. Your year-end goals

Q4 is easier to manage when you know what you are working toward

- What needs to happen before December?
- What numbers do you want to reach?
- What expenses can you control?
- What decisions need to be made before the year ends?

5. Your financial records

The cleaner your records are now, the easier year-end will be later

- Organize receipts and invoices
- Reconcile your accounts
- Clear up missing or incorrect transactions
- Make sure your records are up to date

Q4 preparation is not about doing everything early

It’s about giving yourself enough time to spot problems, make better decisions, and avoid unnecessary pressure

August is not too early
It may be the perfect time to start

A KPI (Key Performance Indicator) is simply a number that tells you whether your business is moving in the right direction

As a business owner, KPIs help you identify:

✅ Areas where your business is excelling
✅ Areas that need improvement
✅ Trends before they become problems
✅ Opportunities to maximize growth
✅ Whether the actions you're taking are actually working

Think of KPIs as your business GPS

They show where you are today, where you're heading, and whether you need to change direction before you end up somewhere you don't want to be

Some examples of useful KPIs

🠪 Job Profit Margin
This is one of the most important KPIs for construction companies because a business can be winning projects, generating revenue, and still lose money if jobs are not profitable

- Formula: (Project Revenue - Project Costs) ÷ Project Revenue × 100
- Target: 20% - 35%+

🠪 Repeat Customer Rate
Tells you how many of your customers come back and do business with you again. For trades businesses such as HVAC, electricians, plumbers, pool installers, gate installers, and other service companies, this KPI helps measure customer satisfaction, loyalty, and the strength of your reputation

- Formula: (Number of Repeat Customers ÷ Total Customers) × 100
- Target: 20% - 50%

🠪 Accounts Receivable Days (AR Days)

One of the most important cash flow KPIs because you can be profitable on paper and still struggle in real life if payments are delayed. Accounts Receivable Days shows how long, on average, it takes for your customers to pay you after you send an invoice

- Formula: (Accounts Receivable ÷ Annual Revenue) × 365
- Target: 30 - 45 days

and of course some of the more common ones like

🠪 Gross Profit Margin
- Formula: Gross Profit ÷ Revenue × 100

🠪 Net Profit Margin
- Formula: Net Profit ÷ Revenue × 100

🠪 Revenue Per Crew
- Formula: Revenue á Number of Employees

🠪 Cash Reserve Ratio
- Formula: Cash Available á Monthly Expenses

🠪 Revenue Growth Rate
- Formula: (Current Revenue - Previous Revenue) ÷ Previous Revenue × 100

It's important to remember that KPIs are not one-size-fits-all

Unpopular opinion: growth is overrated

IF it is costing you MORE (not just financially!)

One of the biggest misconceptions in business is believing that more revenue automatically solves financial problems

Sadly, growth often creates new ones

More time and energy needed
More investments
More mistakes
More stress

We've seen businesses take off, everything looks successful (on the outside at least)

One of the most common reasons businesses struggle financially is because they grew faster than their finances could support

What does that mean?
Could be that sales are high, but your expenses? doubled

This is very common to construction companies, contractors, and service businesses, they experience this firsthand

A large project comes in > team grows > equipment purchased >
operating expenses increase

BUT customer payments don't always arrive at the same speed

Suddenly, a business can generate $1 million in revenue, be fully booked, and growing but still struggle financially

The strongest businesses aren't always the ones growing the fastest

They're often the ones that understand their numbers, plan ahead, and make decisions with confidence

Growth is always the goal, long term success is tied to it.

If you’re thinking about hiring a CPA, here’s a simple way to know if you’re choosing the right one:

✔ They understand your type of business

Advice should feel specific to your business

✔ They focus on helping you make decisions

They explain what actually matters

✔ They keep things organized behind the scenes

So you’re not scrambling when it matters most

These are just some of the few, but these are key to knowing you are in good hands especially during tax season

You don’t realize how important the right CPA is…

until you’ve worked with the wrong one

Still don't have someone to guide you with your financials?

This may be a sign to have the best team to have your back😉

Why is tax season stressful?

Waiting until you’re stressed limits your options
that's something you can't afford during tax season

What you can do:
➡️ Ask questions early
➡️ Get a second set of eyes
➡️ Treat support as strategy

Early conversations lead to better outcomes

Let’s make sure all of this hard work is actually worth it

Because if you’re being honest, running a business is not easy, and most days you’re juggling sales, operations, employees, clients, and a hundred small decisions that nobody else sees, and by the time you finally sit down at night, you’re exhausted but still thinking about what needs to get done tomorrow

And that’s exactly why this matters

You didn’t put in all these hours just to “get by” at the end of the year

You didn’t take on risk, responsibility, and pressure just to feel unsure every tax season

You did it to grow
to build something stable
to hit real business goals
and to create income that actually supports your life

But here’s the part most business owners avoid thinking about: hard work alone doesn’t guarantee progress

→ You can have higher revenue and still feel cash tight
→ You can be fully booked and still not know your true profit
→ You can grow fast and still be financially unprepared

And then tax season shows up and quietly asks the question most people don’t want to answer

Did this year actually move you forward?

This is why having a CPA shouldn’t start in March or April when deadlines are close and stress is high

It should start when you’re setting goals, when you’re planning growth, when you’re deciding whether to hire, invest, expand, or reinvest

Because real tax planning is about making sure your numbers support your vision

02/25/2026

A lot of business owners are not struggling because they’re bad at what they do

They’re struggling because they built growth WITHOUT structure (could not stress this enough)

More sales
More jobs
More clients

BUT

No systems
No forecasting
No planning

Successful business owners build business that lasts

How do they do it?

They have a professional that handles their back end

Helps them with:
• Monthly financial review
• Separate business and personal money
• Planning before they file
• Technical questions
• Bookkeeping and treat it like a non-negotiable

Boring, I know
But effective? definitely.

Owning a business is hard
And that’s the part nobody posts about
