Sales tax is like a houseguest who arrives with your revenue—but isn’t staying.

If a customer pays $108.75 for a $100 taxable sale, your register may celebrate the full $108.75. Your income shouldn’t.

The sale is income. The sales tax collected is generally a liability. When you remit that tax, the payment reduces the liability—it doesn’t become a brand-new expense.

The tax already had a job. Don’t hire it twice.

Swipe through for the clean way to record the sale, the tax, the processor fee, and the final deposit.

You sent the invoice.

Your customer said, “I’ll take care of that today.”

And now the invoice is old enough to have developed a personality.

That unpaid invoice lives in accounts receivable—the money customers still owe your business.

Meanwhile, the vendor bill sitting on your desk hasn’t disappeared just because you’ve been politely avoiding eye contact with it. That belongs in accounts payable—the money your business still owes.

These accounts help you see the money you’re waiting to receive and the bills waiting to be paid. They also explain why your profit and bank balance may seem to be living in completely different realities.

And when a payment finally happens, it needs to be matched to the original invoice or bill. Otherwise, one transaction may accidentally get a sequel.

Good bookkeeping won’t make customers pay faster or bills feel more exciting—but it will help you understand exactly where your money stands.

Ever open your financial reports and wonder why they feel harder to understand than they should?

The problem may be your chart of accounts—the filing system used to organize your transactions.

When that system includes duplicate categories, vague labels, or one enormous “Miscellaneous” account, your reports can become confusing even when the numbers are technically there.

Your books shouldn’t make you hunt for the story of your business.

Save this post for the next time you review your accounts and check out KatesCastle.com to book your free consultation.

Profit and cash flow answer different questions.

Profit helps show whether the business earned more than it spent over a period. A cash-flow forecast estimates whether enough cash may be available when specific payments are due.

That distinction matters when you're planning for payroll, equipment purchases, debt payments, slower collection periods, or other significant cash needs.

Use realistic collection dates, include both recurring and unusual payments, and compare your forecast with actual results regularly. The goal is not perfect prediction. It is earlier visibility.

You thought your CPA was handling the books.

Your CPA thought you were working with a bookkeeper.

Meanwhile, the bank feeds were being accepted, the accounts weren’t being reconciled, and no one noticed until tax season.

Some CPAs and CPA firms do provide monthly bookkeeping—but it is a separate service, and it must be included in the engagement. A professional title alone doesn’t tell you who is responsible for keeping your books current.

Ask who is handling:

• Transaction categorization
• Bank and credit-card reconciliations
• Monthly financial reports
• Year-end adjustments
• Tax preparation

When every task has a clear owner, your bookkeeper and CPA can work together instead of discovering gaps at the worst possible time.

Cleanup bookkeeping is a little like archaeology—except the artifacts are bank statements, mystery transfers and a receipt nobody has seen since March.

Monthly bookkeeping records your financial activity while the information is current and questions are easier to answer.

Cleanup bookkeeping has to reconstruct that activity later. That may mean locating historical records, tracing transactions across multiple accounts, rebuilding reconciliations, correcting unsupported entries and reviewing the reports again afterward.

The price reflects the depth of that work—not judgment, punishment or an arbitrary “messy books” fee.

If your bookkeeping needs attention, the goal is not to make you feel bad about the past. It is to create accurate, supported books you can rely on for the next decision.

“I can do it myself” can be true—and still deserve a follow-up question: “Is this working for me?”

If your books stay current, the numbers make sense, and the work fits comfortably into your schedule, DIY bookkeeping may be a reasonable choice.

If every session turns into hours of searching, second-guessing, or catching up, include that time in your decision.

Being capable of doing something gives you options. You can choose how much of it you want to keep doing.

Ever checked your bank balance, felt okay about it, and then remembered payroll, rent, and that annual renewal all hit this week?

That mental math gets exhausting.

A simple cash-flow forecast gives those upcoming payments a place to live—and helps you see when things could get tight before you’re in the middle of it.

Start with the next four weeks. Write down what you expect to receive, what needs to go out, and when.

Clean books aren’t really a destination.

They’re more like doing laundry.

You don’t get everything perfectly clean one time and then announce that laundry has officially been completed forever.

Bookkeeping works the same way.

Records come in. Transactions need review. Accounts get reconciled. Questions come up. Corrections get made. Reports get reviewed. Then next month, we do it again.

It sounds less glamorous than “financial transformation,” but this boring little repeatable process is exactly what makes the numbers dependable.

And dependable numbers make running a business a whole lot easier.

Save this workflow if your current bookkeeping process could use a little more structure.

Your bookkeeping shouldn’t end with getting the transactions entered correctly.

The real value comes when those numbers help you understand what’s happening in the business.

A quarterly review can show you:

Where revenue is growing or slowing
Whether margins are improving
Which expenses are creeping up
How much cash flexibility you actually have
What changed on the Balance Sheet
Which decisions should become priorities next quarter

That’s the difference between having financial reports and using financial reports.

If your books technically exist but you still don’t feel like they’re helping you run the business, Kate’s Castle can help.
