A point of sale system should fit the way your business actually works. Before choosing one, walk through a real sale, a refund, an inventory update, and your end of day report. Check that each step is clear for your team and gives you the information you need.

Know the cutoff time for your card batches, where deposit reports live, and how weekends or holidays affect timing. Then match each settled batch to its deposit so a missing or delayed entry is easier to investigate. Your exact funding schedule depends on your setup.

Recurring billing should feel predictable for both your business and your customers.

Before a subscription starts, make the amount, billing date, cancellation process, and receipt details easy to understand. Review failed payment alerts too, so a missed charge does not become a surprise.

What part of recurring payments is hardest for your business to manage?

Fraud prevention is a process, not a single setting.

For online payments, review the tools available through your gateway—AVS, CVV checks, device or risk signals, and 3-D Secure where appropriate. Make sure your business name is recognizable on the customer’s statement, and train your team to review unusual orders before fulfillment.

No single tool catches everything, but a layered review can help prevent avoidable surprises.

A reliable payment setup includes a plan for the moments when the internet is not cooperating.

Before a busy sales day, confirm your terminal has a backup connection option, your team knows the approved offline procedure, and receipts can still be reconciled later. The exact safeguards depend on your processor and equipment, so document the steps instead of improvising during a rush.

A few minutes of preparation can make a busy checkout feel much calmer.

Chargebacks are easier to address when order records are organized before a dispute ever happens.

For each sale, keep the invoice or order details, proof of customer authorization, delivery or pickup confirmation, the refund or cancellation policy, and relevant customer communication. Make sure the statement descriptor and receipt help customers recognize the purchase.

Good records cannot guarantee an outcome, but they make it easier to explain what happened and respond before deadlines.

Before turning on online checkout, test the customer experience from start to finish.

Check that the business name customers see on their statement is recognizable, receipts show the right contact information, refunds are easy to explain, and your team knows where to find failed or pending transactions.

A smooth checkout is not only about accepting the payment. It is also about making the transaction clear for the customer and manageable for your staff.

A processing statement should be understandable. Review total sales, total fees, recurring account or equipment charges, and the effective rate. What part of your statement is hardest to explain? A clear review can help you understand what you are paying and why.
