“Every day is a new surprise for me…” 😂

That's what a client's admin told me this morning, and I think quite a few accountants and business owners will relate!

It all started with a simple question:

“Our director works from home and uses one of the bedrooms as an office. Can the company pay towards his gas and electricity bills?”

A perfectly reasonable question!

And yes, there are tax-efficient ways for directors to claim working-from-home expenses.

For example, where the conditions are met, a company can pay a tax-free homeworking allowance of £6 per week (£312 per year).

Another option is to have a formal agreement to charge the company rent for using part of the home as an office. The rent would be taxable personal income, but qualifying expenses could be deducted.

But then came the interesting part…

“He's already paid the household bills using the company card. How do we record that?”

Well, that changes things slightly! 😅

Personal household bills don't automatically become business expenses just because you work from home.

In this case, the payment needed to be recorded through the Director's Loan Account, with the director reimbursing the company.

So I asked why he'd decided to pay it that way.

The response?

“No idea, every day is a new surprise for me…” 😂

Sometimes accountancy is as much about figuring out what happened as it is about calculating the numbers.

And that's one of the things I enjoy about working with small businesses. No two days are quite the same!

I still remember being handed a receipt for women's lingerie as a business expense for a construction company about 10 years ago! 😂

Business owners and fellow accountants, what's the most unexpected expense you've ever come across?

„Kiekviena diena man atneša naują staigmeną…" 😂

Atsakymas?

„Neturiu supratimo, kiekviena diena man atneša naują staigmeną…" 😂

Did you know your company could owe YOU money?

Director's Loan Accounts usually come up when a director takes too much money out of the company. But they work both ways.

If you've personally paid genuine company expenses, put your own money into the business, or lent money to your company, your Director's Loan Account may be in credit, meaning the company owes money to you.

For example, if you personally put £10,000 into your company to help with cash flow, when the company eventually pays it back, that £10,000 isn't a salary or a dividend - it's repayment of money the company owes you.

Here's the part many directors don't know: your company can also PAY YOU INTEREST on money you've lent it. That interest is normally a business expense for the company, and personal income for you.

Depending on your other income, some or all of that interest may fall within your Personal Savings Allowance:
- Basic-rate taxpayer → up to £1,000 tax-free
- Higher-rate taxpayer → up to £500 tax-free

One administrative point, though: the company generally has to deduct 20% Income Tax before paying you the interest, and report it to HMRC.
You'd also report the interest as personal income.

So if you've put significant personal funds into your company, it may be worth discussing whether a commercially reasonable rate of interest makes sense for you and the business.

"There's plenty of money in the company bank account, so I'll just take a dividend."

Not necessarily.

One thing I regularly have to explain to limited company directors: cash in the bank and profits available for dividends are not the same thing.

Your company might have £20,000 sitting in the bank, but that doesn't automatically mean you can declare a £20,000 dividend.

Dividends can only be paid from profits available for distributio, so previous years' profits and losses, and dividends already paid, matter too.

And there's a second, just as practical, question: even where the company has enough profit to legally pay a dividend, does it actually make sense to take all of the available cash? The company may still need that money for VAT, Corporation Tax, PAYE, suppliers, payroll and other upcoming costs.

There's paperwork involved too; dividends need to be properly declared and recorded, with minutes and dividend vouchers kept on file.

So before transferring money out of the company account and calling it a dividend, I'd check two things:

- Can the company legally pay it?
- Can the company actually afford it?

Those aren't always the same question.

£50,000 profit. So where's the CASH?

It's a question business owners ask more often than you'd think.

Your accounts can show a healthy profit while your bank balance tells a very different story, because profit and cash aren't the same thing.

Some of that profit may still be sitting in unpaid customer invoices. Cash may have gone towards loan repayments, equipment, or costs that don't reduce profit in the same way. And some of what's in the bank might already be earmarked for VAT, PAYE, Corporation Tax or other bills.

Then there are dividends and any money taken out of the company during the year.

So if the accounts show a £50,000 profit, it doesn't mean there should be £50,000 sitting in the bank...

That's why I think looking only at the year-end profit figure can be misleading, I'd much rather a business owner understands, throughout the year, where the profit is going and what cash is actually available.

A profitable business can still have cash-flow problems.

£50,000 pelno.

"I've got a limited company, so my personal assets are protected."

Mostly true - a limited company is legally separate from its owners, and that's one of the main reasons people choose this structure.

But notice the word: LIMITED. It doesn't mean a director can never be personally on the hook.

A common example is signing a personal guarantee for company borrowing. If the company can't repay, the lender may be able to come after the director personally, depending on the guarantee's terms.

There can also be personal consequences for directors if a company becomes insolvent and duties aren't followed properly.

So before signing finance agreements, leases or guarantees, check whether you're signing for the company only, or personally as well.

That one signature can make a very big difference.

Are you taking money out of your limited company? The company bank account isn't your own personal account.

If what you've taken out isn't salary, a dividend, repayment of money the company owes you, or a genuine business expense, it can end up sitting in your Director's Loan Account.

That's not automatically a problem - the trouble usually starts when nobody looks at it until the year-end accounts are being done.

If a loan is still outstanding after the deadline, the company can face a Section 455 tax charge, currently 35.75% for loans made from 6 April 2026.

So a £20,000 loan left unresolved could mean a £7,150 tax charge for the company.

My advice: check the Director's Loan Account during the year, not just after it's ended. It gives you and your accountant far more room to deal with it properly.

Imate pinigus iš savo Ltd įmonės? Įmonės banko sąskaita nėra jūsų asmeninė piniginė. 😊

Jei išsiimti pinigai nėra atlyginimas, dividendai, įmonės skolos jums grąžinimas ar tikros verslo išlaidos — jie gali atsidurti jūsų Director's Loan Account.

Pati paskola savaime nėra problema — problemos dažniausiai prasideda tada, kai ši sąskaita pirmą kartą peržiūrima tik ruošiant metines ataskaitas.

Jei paskola lieka negrąžinta po nustatyto termino, įmonei gali būti pritaikytas Section 455 mokestis — šiuo metu 35.75% paskoloms, suteiktoms nuo 2026 m. balandžio 6 d.

Tad £20,000 paskola gali reikšti apie £7,150 papildomo mokesčio įmonei.

Todėl Director's Loan Account verta tikrinti metų eigoje, o ne tada, kai metai jau pasibaigę.

Stop sending your accountant only bank statements

A bank statement is not a folder full of receipts! 😄

I say this to clients more often than you'd think.

Seeing a payment leave the business account doesn't actually tell me much. I can see £551 went to a supplier - but I can't tell:

- What was actually bought?
- Was it fully for the business?
- Was VAT charged?
- Is there a proper VAT invoice for it?

This matters even more if you're VAT registered, since HMRC expects proper paperwork behind any VAT you're claiming back.

The system that actually works is the boring one:
Get the invoice → save it → send it to your accountant straight away.

Don't wait 3 months or, in some cases, 17 months, when you can no longer remember what "ABC SERVICES £487.36" was...

Just had a concerning realisation…

While reading HMRC guidance on work expense claims, I noticed that government services are increasingly relying on AI tools. 🤖

At the same time, we are seeing redundancies across civil service roles, while taxes continue to rise for both businesses and individuals. It raises an important question… are we paying more while receiving less human support?

Efficiency and technology have their place, but tax and compliance often require real conversations, professional judgement, and human understanding - things automation cannot replace.

Technology should support people, not quietly replace them.
