Is your Business Ready for an End-of-year Financial Health Check?

We know how easy it is to get caught up in running your business; looking after customers, chasing new opportunities and keeping everything ticking along.

However, with the end of the year approaching, now is the perfect time to take a step back and give your business finances a little attention.

Here’s your 5-point financial health check to help you finish the year on the right foot!

1. Chase those outstanding invoices
Is anyone still owing you money? The sooner you follow up, the healthier your cash flow could be.

2. Review your expenses
Are there subscriptions you're no longer using or costs that could be reduced? Small savings can make a real difference over time.

3. Check your tax position
Have you put enough aside for your tax bill? A little forward planning now can help avoid an unwelcome surprise later.

4. Look at your profits, not just your turnover
A busy business isn't necessarily a profitable one! Do you know how much you're actually making and where your money is going?

5. Set your financial goals for the year ahead
Whether it's increasing profitability, improving cash flow or investing in growth, knowing your numbers helps you make better decisions.

Remember: Your accounts aren't just about meeting deadlines and keeping HMRC happy. They're a valuable tool for understanding your business and planning its future.

At Chapmans Business Solutions, we're here to help you make sense of your numbers and feel more confident about your finances.

When did you last REALLY look at your business finances?

We're not just talking about checking your bank balance!

As a business owner, its easy to get caught up in the day-to-day running of your business. Looking after customers, winning new work, managing staff and keeping everything moving.

But when did you last sit down and ask yourself:

-Am I actually making enough profit?

-Do I know which parts of my business are performing best?

-Am I putting enough money aside for my tax bill?

-Am I on track to hit my financial goals this year?

Your accounts shouldn't just tell you what happened last year. They should help you make better decisions about what happens next.

With the end of the year approaching, now is a great time to take stock, understand where your business stands and plan for the months ahead.

So, honestly… when did YOU last give your numbers some attention?

Is your Bookkeeping Actually up to date?

If your bookkeeping consists of a carrier bag full of receipts and a spreadsheet you haven't opened since April… we need to talk.

We get it. When you're busy running a business, keeping the books up to date can easily slip down the priority list, however, leaving your bookkeeping until the end of the year can make life much harder than it needs to be.

Keeping your records up to date means you can:
- See how your business is really performing
- Know your actual income, expenses and profit rather than guessing from your bank balance.
- Manage your cash flow
- You'll have a much clearer idea of what's coming in, what's going out and what you can realistically afford.
- Plan for your tax bill - Nobody likes an unexpected tax bill. Up-to-date figures mean you can plan ahead and put money aside.
- Spot problems early
- Falling sales, rising costs or unpaid invoices are much easier to deal with when you know what's happening in your business.
- Prepare for Making Tax Digital - With MTD for Income Tax coming into effect for more sole traders and landlords, keeping accurate digital records is becoming increasingly important.

And perhaps most importantly…
You don't have to do it all yourself.

If bookkeeping is one of those jobs that keeps getting pushed to the bottom of your to-do list, getting professional support could give you back valuable time and give you a much clearer picture of your business.

So, be honest…When did you last update your books?
If the answer makes you wince, perhaps it's time to give us a call on
01775 529345 or drop us an email at [email protected].

Are you claiming all the business expenses you're entitled to?
It's easy to focus on making sales and bringing money into your business, however, are you making sure you're also claiming the legitimate business expenses that could reduce your taxable profit?

There are some expenses that business owners often overlook, including:
- Business mileage
If you use your own vehicle for business journeys, you may be able to claim allowable mileage expenses.

- Software and subscriptions
Accounting software; design tools, project management systems and other software you use for your business can often be allowable expenses.

- Professional subscriptions
Memberships and subscriptions that are relevant to your business or profession may be claimable.

- Business insurance
The cost of appropriate business insurance can be an allowable business expense.

- Professional fees
Accountancy, legal and other professional fees incurred for your business may also be deductible.

These are just a few examples:
-The important thing is not to assume that something is allowable simply because another business owner claims it.

-There are specific rules around what you can and can't claim, and keeping the right records is just as important as making the claim itself.

If you're not sure whether an expense is allowable, ask your accountant before you claim it.

You could be missing legitimate expenses or you could be claiming something that isn't actually allowable.

Either way, getting the right advice can save you money, prevent problems and give you greater confidence in your business finances.

Are you confident you're claiming everything you should be?

If you're looking for advice about what you can be claiming for, feel free to call us on 01775 529345 or drop us an email at [email protected].

Important Accounting Dates for October

October is another busy month for business owners, so here are some key dates to have on your radar.

5th October - Self Assessment registration
If you're newly self-employed or have become liable to submit a Self Assessment tax return for the first time, you generally need to register with HMRC by 5th October 2026 for the 2025/26 tax year.

19th October - PAYE deadline for cheque payments
If you pay PAYE by cheque, HMRC needs to receive your payment by 19th October.

For electronic payments, the deadline is generally 22nd October.

22nd October - PAYE deadline for electronic payments
If you're an employer paying PAYE monthly or quarterly, make sure your payment reaches HMRC by 22nd October.

31st October - Paper Self Assessment tax return deadline
If you need to submit a paper Self Assessment tax return for the 2025/26 tax year, HMRC must receive it by 31st October 2026.

Don't forget your VAT!
VAT deadlines vary depending on your accounting period, so there isn't one single October VAT deadline for everyone. Your VAT return and payment are usually due one calendar month and seven days after the end of your VAT accounting period.

A date in your diary can save you money!
Missing a tax or filing deadline can result in penalties and interest, so it's worth checking your upcoming deadlines now rather than leaving them until the last minute.

If you're not sure what you need to pay, when it's due or whether you've missed something, we're here to help. Feel free to call us on 01775 529345

Taking on your first employee can be a really exciting step for your business.

But before you advertise that position, it's important to understand what that employee will actually cost your business.

If you're budgeting for someone on a £30,000 salary, for example, your costs don't simply stop at £30,000.

Grab a cuppa and read this month's Blog all about what you need to consider when taking on your first employee.

Your bank account says you've got £20,000.
Your accountant says you haven't.
Sound familiar?

One of the biggest mistakes business owners can make is looking at their bank balance and assuming that’s how much money they have available to spend.

But your bank balance doesn't tell the whole story.

That £20,000 could include money that already belongs to HMRC, whether that's VAT, Corporation Tax or Income Tax and if you're not putting money aside throughout the year, that healthy-looking bank balance can quickly turn into a very uncomfortable tax bill.

The last thing you want is to get to January and suddenly realise that a large chunk of the money you've been treating as available isn't actually yours to spend.

Here's a few simple habits can make a huge difference:
- Keep your bookkeeping up to date
- Know your actual profit, not just your bank balance
- Put money aside regularly for your tax liabilities
- Keep VAT money separate where possible
- Plan ahead for your next tax bill rather than waiting for the deadline.

Good financial planning isn't about how much money is in your bank account today. It's about knowing how much of it you can actually afford to spend.
If you're not sure how much you should be putting aside for your next tax bill, speak to your accountant before the bill arrives.

A little planning now could save you a lot of stress later.

If you're looking for support managing your cashflow, we'd love to hear from you. Feel free to call us on 01775 529345 or drop us an email at [email protected].

Sole Trader or Limited Company - Which is Right for You?

One of the most common questions we get asked by business owners is:
"Should I stay as a sole trader or become a limited company?"

The answer isn't always straightforward, but here are a few things to consider:
Sole Trader
-Simple and inexpensive to set up
-Less administration and paperwork
-You keep complete control of your business
-Profits are taxed through your personal tax return.

Limited Company
-Can be more tax-efficient as profits increase
-Offers limited liability protection
-Often appears more established to customers and suppliers
-Can provide greater flexibility when extracting profits.

However, becoming a limited company isn't automatically the best option for every business. The right choice depends on factors such as your income, future plans, level of risk and how much administration you're comfortable with.

If you're wondering whether now is the right time to incorporate, we'd be happy to discuss your circumstances and help you make an informed decision.
