Using AI tools, software or a spreadsheet for your bookkeeping? Brilliant. Here's one thing worth knowing whichever route you take.
As a business owner, keeping your records is your responsibility, and there's a set length of time you need to keep them for. If you're a sole trader, it's at least five years after the 31 January Self Assessment deadline for that tax year. So for 2025-26, with a return due by 31 January 2027, that means keeping everything until 31 January 2032. If you run a limited company, it's six years from the end of the last company year the records relate to.
The good news is that the tools make this easier. The one thing worth doing is making sure you can access and save a copy of your records for the full period, even if you switch software or cancel a subscription along the way. One folder per tax year is a simple way to do it.
If you'd like to build your confidence with your own bookkeeping before the January Self Assessment deadline, my self paced course for UK sole traders is half price at £24.50 (usually £49 including VAT) until 31 January.
