Xero can do a lot, which is useful! But it's exactly why it can feel so overwhelming when you first log in, and for many of you, moving to bookkeeping software wasn’t something you planned to do.

Between MTD changes and the general shift towards digital record-keeping, you’ve found yourself needing to learn systems you never really wanted in the first place.

My Xero setup service will get you set up properly from the start, explain what everything means, and suggest simple routines to help you manage Xero moving forward.

Bank rules can make reconciling in Xero much quicker - but they’re not a free pass to click **OK** repeatedly without checking what they’ve suggested.

A rule works from the information it's been given. It doesn’t know what you bought, whether the VAT treatment has changed, or whether this particular payment should be handled differently.

Before reconciling, check:

šŸ‘‰ The supplier
šŸ‘‰ The account code
šŸ‘‰ The VAT rate
šŸ‘‰ The description
šŸ‘‰ Any attached invoice or receipt

Bank rules are useful shortcuts, but they still need a human sense-check.

A few extra seconds now could save a much longer tidy-up later.

It’s tempting to open your banking app, check out the balance, and use that number to decide how the business is doing.

But a healthy-looking balance could include VAT collected from customers, hardware deposits, borrowed money, or payments received earlier than expected. A lower balance could follow a planned equipment purchase without meaning the business has performed badly.

It also won’t show you customer invoices still waiting to be paid, supplier bills you haven’t settled, or whether your profit is moving in the right direction.

Your bank balance is useful, but it’s a snapshot, not the full story. Taking it at face value can lead to some pretty bad decision-making.

Regular bookkeeping brings the missing pieces together, giving you a clearer view of what you’ve earned, what you owe, what is owed to you, and how the business is performing over time.

Because knowing what’s in the bank today is helpful. Understanding what sits behind that number is far more useful.

Your customer paid £100, but Stripe only deposited £97 into your bank account.

So, was the sale £97?

No - the sale was still £100, and Stripe deducted its £3 processing fee before transferring the remaining balance.

Recording only the amount deposited would understate both your income and your expenses. Instead, your bookkeeping should show:

šŸ‘‰ Ā£100 income
šŸ‘‰ Ā£3 processing fee
šŸ‘‰ Ā£97 received into the bank

The bank deposit is the net amount - not the full value of the sale.

The same principle applies to payments received through PayPal, Square, and other payment platforms too.

A little Friday musing for you ā˜•

Running a business is full of decisions; some are exciting, some are daunting, and some have more impact than we realise at the time: the clients you choose to work with, the prices you set, the systems you put in place, and the habits you build.

Not every decision has to be perfect, but each one nudges your business in a particular direction.

It's worth checking in with yourself every now and then: are those choices helping you build the business you want, or taking you further away from why you started it?

When VAT is added to your bookkeeping package, the return isn’t treated as a separate deadline panic. I’ll keep your records in shape throughout the period, then review the key details before your VAT return is prepared.

What's included:
šŸ‘‰ Reviewing VAT coding on sales and purchases
šŸ‘‰ Checking receipts, bills and invoices are attached where needed
šŸ‘‰ Reconciling relevant bank transactions
šŸ‘‰ Reviewing the VAT return figures before submission
šŸ‘‰ Letting you know what's due and when
šŸ‘‰ Helping keep the next quarter easier to manage

Your bank statement balance matches the bank, but the balance showing in Xero is somewhere else entirely. Now what?

A difference between the two balances is a sign that something needs investigating. It might be an unreconciled transaction, a duplicate, a manually entered payment, or a deleted statement line.

The Bank Reconciliation Summary can help you trace the difference and identify when it first appeared.

What you shouldn’t do is add an adjustment simply to force the balances to agree. That might make the warning disappear, but it won’t correct the transaction causing it.

Find the difference, fix the cause, then let the balances agree properly ✨

Before I became a bookkeeper, I spent ten years running my own photography business.

I know what it’s like to receive deposits months before the work takes place, then reach a busy season where every week feels full - and, at times, completely overwhelming.

I understand the planning required to make busy-season income stretch through the quieter months.

I’ve also seen how quickly software subscriptions add up, how much preparation goes into replacing expensive equipment, and how easily smaller purchases made for individual jobs can disappear amongst everything else.

Today, I use that experience to help other creative business owners keep their bookkeeping clear, current, and useful throughout the year.

Moving money between your business bank accounts?

It isn’t income in one account or an expense in the other; it’s simply a transfer.

In Xero, reconcile one side as a transfer to the other bank account. Xero will then create the corresponding transaction for you to match in the second account.

Don’t create another transfer from the second account, or you could end up with duplicates.

✨One transfer. Don’t create it twice ✨

Despite spending a lot of my time in Xero, I still occasionally find new and exciting things!

Yesterday, I accidentally discovered that pressing the / key opens the search box from almost anywhere in Xero (cue a disproportionate level of excitement 🫣).

And if you didn’t know - from there, you can quickly look for a contact, invoice, bill, quote, purchase order, or bank transaction without clicking through several menus.

It’s such a small thing, but very handy when you know exactly what you’re looking for and just want to get there quickly.

Happy Friyay! šŸ·
