What do our clients say about working with us? ⭐⭐⭐⭐⭐

"From the moment we first, we knew we were in safe hands with Kingston Bookkeeping."

For me, bookkeeping has always been about more than keeping the accounts up to date. It's about getting to know our clients and their businesses, being there when they need help and making sure they feel comfortable asking questions.

It's lovely to know that the support we provide makes a difference.

Great bookkeeping is a team effort! 🤝

There's quite a lot that goes on behind the scenes to keep a business's books in good shape, and the best results come when we work together.

Our job is to keep your records accurate and up to date, spot things that need attention and help you understand what's happening with your business finances.
But we can't do all of that without a little help from you!

We need the invoices, receipts and answers to those sometimes annoying questions. And if something changes in your business, it's always helpful to know about it sooner rather than later.

We use Apron to make sending us paperwork as easy as possible, and Xero to keep everything organised and up to date. It makes a real difference when we're all working with the same information.

When everyone does their bit, things run so much better. There are fewer last-minute scrambles, less chasing around for missing information and you've got figures you can actually rely on when making business decisions.

Good bookkeeping isn't something we do to your business. It's something we do with you.

Nobody likes a surprise VAT bill! 😬

Especially when you've only got a few days to find the money to pay it.

One of the real benefits of having your bookkeeping done weekly or monthly is that you've got a much better idea of what's happening with your finances, including how much VAT you're likely to owe.

And if it's looking like a bigger bill than usual, at least you've got some time to plan for it rather than having a nasty surprise when the deadline arrives.

Of course, we can't make the VAT bill disappear (if only! 😂), but keeping your bookkeeping up to date means we can give you a much better idea of what's coming.

It's so much easier to manage a VAT payment when you've had time to prepare for it, rather than finding out at the last minute.

Hang on a minute, that doesn't look right... 🤔

One of the things I enjoy about bookkeeping is the detective work!

You might notice a payment that's different from usual, an invoice that doesn't match what's been paid, or an expense that seems a bit odd.

It's tempting to think it's only a small thing, but I always want to understand what's happened before deciding how to record it.

Sometimes that means looking back through previous transactions, checking invoices or having a chat with the client to get to the bottom of it.

And quite often there's a perfectly straightforward explanation. We just need to find out what it is!

That's why bookkeeping is about much more than processing transactions. It's about paying attention to the details and making sure the accounts reflect what's actually going on in the business.

It's surprising what you can uncover when you take the time to look a little closer. 🔎

Does your bookkeeper drive you mad with all their questions? 😂

What's this payment for?
Have you got an invoice?
Is this business or personal?
Which job was this for?

Sound familiar?

A great bookkeeper asks questions. Lots of them!

We might be a bit of a pain sometimes, but there's a good reason for it.

When something doesn't look quite right, I'd much rather ask than make an assumption. Those little questions can make a big difference to how accurate and useful your accounts are.

Of course, it works both ways. We need our clients to answer those questions and send us the paperwork too!

So if your bookkeeper is forever asking questions, take it as a good sign. It means they're paying attention, checking the details and making sure things are recorded correctly.

A bookkeeper who asks questions is a bookkeeper who's looking after your business.

If someone is looking after your bookkeeping each month, you should have a good sense of where things stand.

Not because you’re checking Xero every day, but because they’re keeping you in the loop.

That might be a reminder that paperwork is still needed, a message about something unusual, a heads-up that VAT is coming up, or a note to say something needs your attention.

Good bookkeeping is about more than keeping the records up to date.

It’s about helping you stay informed, avoid surprises, and understand what’s happening financially in your business.

Before I tell a client their profit has improved, I want to know that it actually has.

A report might show a lovely increase in profit.
That’s good news, but only if the numbers behind it are complete.

So before getting too excited, I’ll usually check a few things.
Have all the bills come in yet?
Has all the work been invoiced
Was there something unusual last month that makes this month look particularly good?
Are the costs roughly where we’d expect them to be?

Sometimes the improvement is absolutely genuine.
Sometimes there’s a bill missing, some work still to invoice, or something unusual affecting the comparison.

That doesn’t mean the report is wrong.

It means the number needs context before we rely on it.

Because a useful report isn’t just about what the number says. It’s about knowing whether you can trust it.

I’m working with a client at the moment where cash is tight.

A few months ago, one of the things we needed to sort out was invoicing. We put a monthly process in place so customers were actually being invoiced properly and on time.

That part is now working.

What became obvious next was that getting the invoices out was only half the job.
There’s now around £8,000 outstanding, with some of it building up over the last three months.

So we’ve started putting a proper credit control process in place as well.

We’ve set up standard first and second reminder emails. The older debts will be followed up by phone, politely, to find out when payment is likely and whether a payment plan might be needed.

We’re also looking at whether Direct Debit could help with collections in future, and whether some customers should pay upfront.

In my experience, regular reminders from an actual person often make the biggest difference.

This is the bit of bookkeeping I really enjoy.

Not just getting the accounts up to date, but spotting what the numbers are telling us and then finding a practical way to improve it.

The job looked profitable... until all the costs were included.

This is particularly important for builders and trades.

A job can look great on paper.
Then you find a subcontractor cost that hadn't been allocated to it.
A second materials order.
An additional site visit.
A few hours of remedial work.

Individually, none of those things looks particularly significant.
Put them together and the picture of that job can change completely.

Good bookkeeping won't magically make a job more profitable.

What it can do is help you see which jobs genuinely make money and which don't.
And that's useful information when you're pricing the next one.

Your bank is reconciled. Great.
But that doesn't necessarily mean your bookkeeping is right.

You could still have supplier bills missing.
Sales that haven't been invoiced.
Costs sitting against the wrong job.
Transactions coded somewhere they shouldn't be.
Or an old balance that's been hanging around for months without anyone asking why.

A green tick is useful.
But it's not the same as understanding whether the figures behind it make sense.

That's why part of great bookkeeping is knowing when to stop, look at something and ask:
“Does this actually look right?”

Sometimes that one question tells us far more than the green tick.
