VAT is money you collect for HMRC. Not money that belongs to your business.
It's the most expensive misunderstanding in business banking. VAT lands in your account with every sale, the balance looks healthy, and slowly it gets absorbed into stock, wages, and day-to-day spending. Then the quarter ends, the return is due, and the money that was never yours isn't there.
HMRC doesn't treat a VAT shortfall like a cash flow hiccup. Late payment interest starts immediately, penalties build the longer it stays unpaid, and repeated late payments put your business on HMRC's radar.
How to stay out of that trap:
๐ต Move the VAT portion into a separate account the moment invoices are paid
๐ต Treat your real turnover as the net figure, not the gross
๐ต Reconcile monthly so the quarterly bill is never a surprise
๐ต Forecast your VAT liability alongside your cash flow, not separately
๐ต If a payment is genuinely unaffordable, arrange a Time to Pay with HMRC before the deadline, not after
At ABM Chartered Accountants, we prepare and file VAT returns through Making Tax Digital, forecast your liability each quarter, and set up the systems that keep HMRC's money separate from yours. Regulated by ICAEW and ACCA.
