Why Planning Matters

Payroll works best when there is a plan in place.

Pay dates, holidays, starters, leavers, sickness, pension duties and employee changes can all affect the payroll process.

When information is sent late or changes come through at the last minute, it can create unnecessary pressure and increase the chance of errors.

The good news is that planning does not need to be complicated.

A clear cut-off date, organised payroll information and good communication can make a big difference.

Because smoother payroll usually starts before payroll day.

🦌 Behind the Scenes at Highland

Good payroll does not just happen on payday.

Behind the scenes, there is a lot going on to make sure everything runs smoothly.

Payroll information is checked, starters and leavers are reviewed, tax codes are applied, pension duties are monitored, reports are prepared, and any queries are followed up before payroll is finalised.

It is often the quiet work in the background that helps prevent issues later.

A missing detail, a late change or an unclear instruction can all affect payroll, which is why accuracy and communication matter at every stage.

For our clients, behind-the-scenes support means having someone keeping an eye on the details, asking the right questions and helping payroll stay organised month after month.

Because payroll is not just about producing payslips.

It is about the care, checks and consistency that happen before they are sent.

☀️ Outsourcing Payroll During Holidays

Holiday season can be a busy time for employers.

Staff are away, managers may be unavailable, approvals can take longer, and the person who usually handles payroll might be taking a well-earned break.

But payroll deadlines still need to be met.

That is where outsourcing payroll can make a real difference.

Having payroll support in place means there is someone there to keep things moving, check the details and help make sure employees are paid correctly and on time.

It can also reduce the pressure on internal teams during the months when cover is limited and inboxes are a little slower to respond.

The good news is that outsourcing does not mean losing control.

It means having support, structure and continuity when your business needs it most.
Because holidays should be planned payroll panic should not be.

⏸️ Why Payroll Can’t Pause

Every business has busy periods, quieter weeks and times when things feel like they need to slow down.

But payroll has to keep moving.

Employees still need to be paid, HMRC still needs the correct information, pension duties still need to be reviewed, and records still need to stay up to date.

Even when there are no major changes, payroll still needs attention.

A regular salary, standard tax code, usual pension deduction or monthly submission still needs to be processed correctly and on time.

Payroll can usually only pause when there is genuinely nothing to process no employees to pay, no deductions, no statutory payments, no pensions and nothing to report.

For most employers, payroll is about continuity.
Keeping things consistent, accurate and on time, even when the business is busy. 💡

Summer can be a busy time for employers.

Staff are taking annual leave, managers may be away, working patterns can change, and payroll deadlines still need to be met.

That is often when clients need a little extra support.

A holiday request may need checking, a starter may need adding, a leaver may need processing, or an employee may have a query about their pay.

The good news is that a lot of summer payroll pressure can be avoided with clear communication and planning.

Before key people are away, make sure payroll information is sent over in good time, absence records are up to date, and someone is responsible for approving any changes.

Good payroll support is not just about processing payslips.

It is about helping clients feel organized, reassured and prepared even during the busiest holiday months.

Summer should feel a little lighter, and payroll support can help keep it that way.

☀️ Avoiding Summer Payroll Mistakes

Summer is a busy time for many businesses.

Staff are taking annual leave, managers may be away, cover arrangements are in place, and payroll information can easily end up being sent late or missed altogether.

That is often when small payroll mistakes happen.

A missing leaver date, an unapproved holiday, a late starter form, an overlooked pay change or a timesheet sent after the cut-off can all lead to incorrect pay and extra corrections later.

The good news is that most summer payroll issues can be avoided with a little planning.

Before key people are away, make sure someone is responsible for sending payroll information, approving changes and keeping absence records up to date.

It also helps to send everything over in good time before payday, so there is space to check, query and amend anything before payroll is finalised.

Summer should be enjoyed not spent fixing payroll errors.

📅 Payroll Cut-Offs

A smooth payroll starts before payroll day.

To help everything run correctly and on time, we ask clients to send payroll information 5 working days before pay day.

This includes:
- hours
- overtime
- changes to pay
- sickness or holiday
- new starters
- leavers
- any other payroll updates

Ideally, everything should be sent together in one email.

Why? Because tracking down separate emails, missing starter details, late leaver information or last-minute changes can slow the process down and increase the risk of errors.

Payroll deadlines are there to protect everyone employers, employees and the payroll process.

The earlier we have the right information, the smoother payroll runs.

Payroll is more than making sure employees are paid on time.

It affects trust, compliance, cash flow, employee morale and the smooth running of a business.

When payroll is accurate, employees feel confident that their pay, tax, pensions, holiday and deductions have been handled properly.

When payroll is wrong, even small errors can quickly lead to confusion, queries, corrections and unnecessary stress.

That is why accuracy matters at every stage from starters and leavers to hours, pay changes, pensions, expenses and HMRC submissions.

Good payroll should give employers peace of mind and employees confidence in their pay.

Because getting people paid is important.

Getting it right matters even more.

☀️ Summer Payroll ☀️

Summer can be a busy time for payroll.

More annual leave, staff cover, seasonal workers and last-minute changes can all make payroll information harder to keep on top of.

A missing timesheet, unapproved holiday, late starter form or forgotten leaver can quickly lead to incorrect pay or delays.

That is why it is worth having a clear summer payroll process in place.

Make sure payroll still knows who is responsible for sending information, approving changes and checking the final reports even when key people are away.

A little planning before the summer rush can help avoid payroll headaches later.

Because sunshine is lovely. Payroll corrections? Less so.

📄 P45 or P60?

This is something that comes up more than you’d think.

They sound similar, they both relate to pay and tax, and it is easy to mix them up but they are used for different reasons.

A P45 is issued when an employee leaves a job. It shows their pay and tax details up to their leaving date and is usually needed by their next employer.

A P60 is issued after the end of the tax year. It shows an employee’s total pay and tax for that tax year, but only if they were still employed by that employer on 5 April.

So, if an employee has already left and been issued a P45, they would not usually receive a P60 from that employer for the same tax year.

The simple way to remember it is:

Leaving employment?
You usually need a P45.

Still employed at tax year-end?
You usually receive a P60.

Payroll is full of little details like this.
