What to expect when signing up to use an accountant.

I would always recommend asking to see their practicing certificate and a copy of their insurance, this means you know they are qualified, insured and regulated. Anyone in the UK can trade as an accountant and advertise accountancy and tax services.

When you sign up to use an accountant for the first time or you move to a new provider you should be asked for the following information and should be given the following things.

You may be asked to fill in a form which collects your data, Name, Address, Contact Information, DOB, marital status, UTR number, NI number etc. Every Accountant will have their own system.

AML – they should ask you to provide your details and proof of ID and Address so they can run AML checks, this is a mandatory step, if you are not asked to complete a check or provide these details you need to be asking them why not. This enables them to complete a risk assessment.

Engagement Letters – This covers the services you will receive and their fees and payment terms, it should also give details about their GDPR policies or where to find them on their website. It may also give details of time frames for completing work.

If you have used an accountant before they will ask for those details so they can ask that accountant for professional clearance, this is required under the accountants’ regulatory bodies rules.

You may also be asked to sign up to a portal or app where you can upload information and sign and view your tax returns etc.

HMRC Gateway Log In Details

These are your personal log in details and passwords.

You should not be sharing them with anyone including your bookkeeper or accountant They should be using their Agent Account details.

This is what HMRC says:

How to protect your sign in details
You must not share your HMRC sign in details with anyone, including your tax agent if you have one. You should treat them with the same amount of care as your bank details.
Giving sensitive, personal information to other people, even without realising, puts you at risk. Someone using your sign in details could steal from you and HMRC.

Criminals promoting fraud on social media
Criminals use social media to try and find people to trick or persuade people into sharing their personal or sign in details.
They use these details to apply for fraudulent tax repayments from HMRC. They hide their own identity, which means the person whose details they’ve used will owe money to HMRC.
Their social media posts often advertise that they are ‘risk free’. They may also send direct messages to you through social media.

If you do share your details, you will be at risk of having to pay back the full tax debt created by the fraudsters in your name. Your bank account may be frozen, and fraudsters may post or sell your personal details online for anyone to use.

MTD for Income Tax

We have now completed the first quarter for those clients with turnover exceeding the £50000 threshold.

From April 2027 the threshold will fall to £30000, this will mean a lot more returns for us to complete all with the same deadlines. If your turnover exceeds £30000 in the 25-26 tax year you will be expected to comply with the rules.

What you will need to do:
🌿 Register with HMRC for MTD for Income Tax.

🌿 Makes sure that you have records that are off a good quality and held digitally. Ideally use a separate bank account just for your business transactions.

🌿 Submit information to HMRC every 3 months. You will still need to complete and file a Tax Return for 26-27.

We can help with all of these, but as this is an additional service it is chargeable, you may also need different software.

MTD for ITSA

If you should have signed up from April 26 and haven’t HMRC will start and sign you up.

What happens if you do not sign up

From September 2026, HMRC will start to sign up anyone who needs to use Making Tax Digital for Income Tax for the 2026 to 2027 tax year and has not signed themselves up. If we’ve signed you up, you can find out what to do next.

If we have not signed you up, there is still time to sign yourself up or ask your agent to do it on your behalf.

When you sign yourself up, you can make sure your details are correct from the start by:

making sure your income sources are up to date

including your latest circumstances in the service

When HMRC signs you up, we use only the information we already hold about you. This may not include any changes to your circumstances since you last submitted a tax return.

You may need to update your information in the service or contact HMRC, depending on the changes required.
