Too often a Sole Proprietor will mix their Business and Personal transactions through a single account. Keeping Personal and Business accounts strictly separate is essential for accurate bookkeeping, tax compliance with the Canada Revenue Agency (CRA), and protecting personal assets. Establish a dedicated Business Bank Account and a Business Credit Card for all company revenue and operational expenses.

Whether you need an actual Business Bank Account depends strictly on your business structure and how you operate. An Incorporated Corporation, for example, must have a dedicated Business Bank Account because a corporation is a separate legal entity from you personally. As a Sole Proprietorship (operating under your legal name) you are not legally required to open a separate Business Account. However, some major banks have terms and conditions on personal accounts that might prohibit commercial use.

An Invoice is a formal request for payment and sent before a transaction is settled. It details what is owed and the terms for settlement. Issuing an Invoice creates an Accounts Receivable balance. Recording payment received clears that balance.

A Receipt is a confirmation document. It is issued after payment is received and serves as proof of purchase. Receipts close an invoice and as a result, a single Invoice might have multiple receipts equal to the number of payments made. Typical of instalments / partial payments.

In Canada, late penalties for payroll apply to both late remittances (payments) and late information returns (like T4 or T4A slips).
