Non-Profit and Small Business Bookkeeper

I've been wanting to do this for a while, and it's finally here πŸŽ‰

Starting this month, EJK is officially running on Dubsado for contracts and client onboarding.

Here's what that means for you:

➑️ If you're an existing client, your next contract renewal will come through Dubsado instead of the old Adobe version

➑️ If you're a new client, this is how onboarding will work going forward! A lot less manual, a lot less waiting around for me to get to it, and a lot more automatic

I care about your books being clean and organized πŸ“š I care just as much about the experience of working with me feeling that way too, and this is a big step toward that 🫢🏻

Huge thank you to .andco for helping bring this to life. It's already made a difference on my end, and I know you'll feel it, too.

If your renewal is coming up soon, keep an eye out πŸ‘€ That's where you'll see it first πŸ’™

If you're self-employed, CRA has a due date for you this month that has nothing to do with April πŸ‘€πŸ‘‡πŸ»

Tax installments catch a lot of people off guard, mostly because nobody explains them until you're already late on one.

Here's the short version:

➑️ If your net tax owing was over $3,000 this year and in one of the last two years, CRA generally expects installments

➑️ Those payments are due March 15, June 15, September 15, and December 15

➑️ September 15 is the one sneaking up right now

Miss one, and it's not just a "pay it whenever" situation! Instalment interest and penalties can start building, even if you end up getting a refund at tax time.

I know this one isn't exactly common knowledge. Were you aware installments were even a thing before today? πŸ‘‡πŸ»

Every September I watch the same thing happen πŸ‚πŸ‘‡πŸ»

People reset their gym schedule, their meal prep, their morning routine... and their books stay exactly where they left them in June.

But, your bookkeeping deserves the same reset πŸ“šπŸ’«

The thing about waiting until tax season to deal with your books... By then, you're not resetting anything, you're just scrambling:

➑️ Digging through months of receipts

➑️ Trying to remember what that random charge from June actually was

➑️ Hoping your accountant doesn't have too many questions

Fall is different πŸ‚ There's no deadline breathing down your neck right now, which makes it exactly the right time to look at where things actually stand, catch up what's behind, and build something that holds up when the January chaos hits.

You don't need to fix all of it today. You just need to start before it turns into a scramble again πŸ‚

What does your fall reset look like this year? Has bookkeeping made the list yet? πŸ‘‡πŸ»

None of this shows up in QuickBooks, but we both know it's there πŸ‘€πŸ‘‡πŸ»

I look at balance sheets all day. Assets, liabilities, equity: clean, organized, accounted for.

What never makes it onto the page though is:

πŸ’” The 2am spiral trying to solve a problem nobody else knew you were carrying
πŸ’” The payroll you made sure went out before you paid yourself, again
πŸ’” The moment you almost walked away and didn't tell anyone how close it actually was

I see the financial side of your business, I don't always see that part. But I know it's there, underneath every number I'm reconciling, because believe it or not, I've been there, too.

Whether you're a bookkeeper, a designer, a massage therapist, you name it! Running a business and owning your own business comes with vulnerability we try to carry alone, but if you're one of my clients, I want you to know you never have to πŸ’™

This is your reminder that you don't have to hold all of it by yourself 🫢🏻

Nobody needs to apologize for this one 🫢🏻

"SOS, I just put groceries on the business card by mistake" sounds like a panic message, but it's not!

My reply is always some version of "no biggie, I'll make sure it's categorized right," and I mean it.

➑️ Because you told me the second it happened
➑️ I can make a note in your file while it's still fresh
➑️ When I sit down to do your bookkeeping, I'm not staring at a random grocery charge trying to guess whether it's business or personal
➑️ I already know

Compare that to the version where I find it three months later with zero context, and now you're trying to remember what actually happened back in March.

If texting me feels like overkill, Dext works too!

🧾 Upload the receipt
🧾 Add "personal" in the description
🧾 And it's documented the moment it happens

🧠 No memory required later!

Mixing something up isn't the issue. Staying quiet about it is what turns a two-second fix into a bigger one.

What's the one you've been meaning to mention? πŸ‘‡πŸ»

Is this setting wrecking your books?! πŸ‘€πŸ“šπŸ‘‡πŸ»

When I take over a new client's QBO account, turning off Auto-Add Rules is one of the very first things I do.

Rules can genuinely save time when they're built correctly, but QuickBooks doesn't actually know with certainty where a transaction belongs...

It's pattern-matching, not verifying 🧩

➑️ And once a rule is wrong, it stays wrong
➑️ Month after month
➑️ And nobody notices until it's a much bigger cleanup than it needed to be

That's really the whole difference between software and a bookkeeper. The software will guess. I actually check πŸ•΅πŸ»β€β™€οΈ

Have you looked at what your rules are actually doing lately? Might be worth a peek 🫣

The actual bookkeeping is only half the job πŸ˜…πŸ‘‡πŸ»

This month, on top of the usual reconciling and categorizing:

πŸ’™ I helped a client work through a genuinely tight cash flow stretch (the kind where you need someone thinking ahead with you, not just recording what already happened)

πŸ’™ I helped another client weigh whether direct billing made sense for their business

πŸ’™ I followed up with a bank more times than I'd like to admit to get a client's new credit card actually issued

πŸ’™ I got a client's payroll system set up so it's not something they have to think about every two weeks anymore

πŸ’™ And I walked another client through how to correctly handle a signing bonus and moving costs for a new hire, so it didn't turn into a mess down the road.

It's just part of the job πŸ’πŸ»β€β™€οΈ and I'm proud to be able to help my clients with these sorts of things!

What's something you've been stuck on that you haven't asked anyone about yet? πŸ‘‡πŸ»

It's never the big stuff that trips people up, it's the small updates that feel too minor to mention.

➑️ You open a new credit card for the business and figure you'll bring it up eventually

➑️ You bring on a new hire and it's not exactly top of mind to text your bookkeeper about it

Meanwhile I'm reconciling an account I didn't know existed, or trying to figure out where a transaction is even coming from πŸ™ƒ

None of this is a big deal when I know about it right away. It becomes a bigger deal three months later, when I'm reverse-engineering what happened instead of just recording it.

You don't need to write a report. A one-line message works:

πŸ’Œ "Hey, we just did this." That's it!

Which one of these have you forgotten to mention before? Be honest πŸ‘‡πŸ»
