Paying yourself: owner draws and dividends never hit the expense lines, so the statement calls you profitable while the account drains.
Debt principal: your loan payment shows only the interest — the principal leaves the bank quietly every month.
Timing: revenue books the day you invoice; the cash lands 30 to 60 days later.

Here’s the part that catches good operators off guard. Clean books don’t protect you from any of this, because none of it is a bookkeeping error. Profit and cash flow answer two different questions, and most small business owners were only ever handed the first one.

A big tax bill on a real profit is the sign your business worked. Owing tax means you earned more than you spent, and every legitimate deduction was already on the return. That’s the outcome you took the risk for.

Shrinking the bill at any cost is where owners lose money. Run any year-end purchase through one question: would you buy it if the tax break didn’t exist? If the answer is no, the write-off talked you into spending real money to dodge a smaller tax.

The only number worth growing is what you keep after tax. Plan the bill early so it never ambushes you, and stop treating a big cheque to the government as a personal failure.

Incorporating doesn’t hand you the 9% small business rate automatically. If you’re an incorporated consultant or contractor invoicing one main client, the CRA can read your corporation as a Personal Services Business, and a PSB loses the small business deduction it’s built on. The trigger is how the working relationship runs: who controls the work, and whether you’re free to take other clients. One-client contractors who incorporated for the tax savings are the exact profile this rule was written for, and the CRA can reassess years back, with interest. The handover between accountants is one email and three requests: your bookkeeping file, at least two years of records, and copies of every filing. The rest of the transition — software, catch-up, chasing gaps — belongs to the new accountant, not to you. Have a bookkeeper but still don’t understand your business finances? The gap has a name. A bookkeeper records what happened in your business. Translating what those numbers mean for your next decision is a different job, and in most service businesses under $2M, that job is unassigned. It falls to the owner by default.
