3 of our bookkeeping red flags:

🚩 Cashflow - Between delayed parent gap fees and subsidy timings, tight cashflow directly impacts your ability to meet essential operational costs like payroll and supplier bills.

🚩 Delayed reports - Without up-to-date monthly reports, you lose visibility over key metrics like room occupancy profitability and wage-to-revenue ratios. You can’t make smart decisions if you’re looking at figures that are three months old.

🚩 Documentation & compliance - Between Children’s Services Award rates, Super requirements and CCS balancing, childcare compliance is a minefield. Slipping up can lead to hefty fines and compliance headaches.

If I were opening a centre tomorrow, these are the three non-negotiables I’d have sorted:

1. Rely on the specialists. Childcare payroll isn’t a standard operation. Between complex awards, split shifts and strict staff-to-child ratios, you need industry experts in your corner to avoid compliance nightmares and stressful payroll planning.

2. Lock down your tech stack. Don’t wait until day one to figure out your software. Confidently choose your accounting, rostering and CCMS platforms early, and make sure they actually talk to each other. (If you really aren’t sure, we can help you with this!)

3. Master your cash flow. Childcare has a notorious cash flow lag with CCS processing and parent gap fees. You need a rolling forecast so you know exactly what you need to get through the initial low-occupancy months.

It is really important to get the foundations right so you can focus on what actually matters - providing incredible care for the kids.
