Why is it so difficult to get invoices?
Why are receipts suddenly missing?
Why do bookkeepers have to beg for source documents?
And the most common response?
Hai bo.
Letโs be clear.
๐ Money moved from trust to business must have a reason.
What was it for?
Fees? Disbursements? Deposit?
Where is the invoice that supports it?
What exactly is being hidden in those invoices?
Because hereโs another issue that comes up often:
Money is coming into the business account, but there are no invoices.
No billing.
No paper trail.
And yet โ Iโm very certain this was covered in law school:
โ Clients must be invoiced
โ Deposits must go into the trust account, not business
โ Business income must be supported by invoices
So why are deposits being received directly into business accounts?
Why is client money treated casually?
Why is documentation an afterthought?
Let me say this clearly:
๐ ๐๐จ๐ฎ๐ซ ๐๐จ๐จ๐ค๐ค๐๐๐ฉ๐๐ซ ๐ข๐ฌ ๐ง๐จ๐ญ ๐ฒ๐จ๐ฎ๐ซ ๐๐ง๐๐ฆ๐ฒ.
๐๐ฎ๐๐ข๐ญ๐จ๐ซ๐ฌ ๐๐ซ๐.
Your bookkeeperโs job is to see the mess early, fix it early, and protect you before auditors arrive.
When you hide source documents from your bookkeeper, you are not protecting yourself โ
you are delaying the problem.
Let the bookkeeper see everything.
Let them help you clean it properly.
So that when auditors arrive,
there are no surprises.

โThereโs money in the bankโฆ
but we couldnโt invoice the client.โ
Why?
Because the attorney bumped into the client in the court corridors and rendered the service there.
No time to invoice.
No paper trail.
Just money sitting in the account.
Let me be very clear.
Even if the work was done in the court corridors โ which can happen โ
the money still needs to be invoiced.
Silence is not a bookkeeping method.
If you receive such work, do something very simple:
๐ฑ Send your bookkeeper a WhatsApp message.
โClient X
Service rendered: Y
Fee: R amountโ
Thatโs it.
Your bookkeeper can then:
โข Raise the invoice
โข Allocate the funds correctly
โข Keep your records clean
โข Protect you from compliance issues
Because when money comes in and there is no invoice, that money becomes a problem:
Unallocated.
Unexplained.
Indefensible.
Bookkeeping does not require perfection.
It requires communication.
Keeping quiet while money sits in your account helps no one โ especially not you.

๐๐ญโ๐ฌ ๐ ๐ฆ๐๐ฌ๐ฌ.
Not because the firm didnโt try โ
but because the previous bookkeeper did not understand legal practice bookkeeping.
Youโll find things like:
โข VAT charged on disbursements that should never have VAT
โข Trust-to-business transfers recorded as new income transactions
โข Items sitting as โunallocatedโ because no one checked the source documents
Instead of asking, โWhat was this transaction for?โ
It gets parked as unallocated.
And hereโs the part many legal practitioners donโt realise:
๐ Unallocated funds in a trust account are dangerous.
If money is sitting in trust and cannot be linked to a client or a purpose, the Legal Practice Council has the right to take that money.
Not because they are unfair โ
but because trust money must always be traceable and justified.
Legal bookkeeping is not about recording what you recognise and ignoring what you donโt.
Every transaction must be:
โข Understood
โข Supported by source documents
โข Allocated correctly
When this doesnโt happen, compliance collapses quietly โ until itโs too late.
This is why law firms need legal practitionersโ bookkeepers, not just bookkeepers.
Because in legal practice, confusion is costly.

โ๏ธ What should you look for when choosing a bookkeeper for your law firm?
Not just someone who can โcapture transactions.โ
When youโre looking for a bookkeeper for your firm, ask yourself this first:
Do they understand legal practice bookkeeping โ or just bookkeeping in general?
A law-firm bookkeeper must understand:
โข Trust vs business accounts
โข Trust-to-business transfers
โข Trust clients reflected as trust creditors
โข Section 86 requirements
โข The consequences of getting it wrong
Because in legal practice, a mistake is not just a mistake โ
it can affect your compliance and your right to practise.
Experience matters.
Understanding matters.
Specialisation matters.
Before you appoint a bookkeeper, make sure they know how law firms work, not just how accounting software works.
The right bookkeeper protects your firm.
The wrong one creates problems youโll only see later.

๐ Let me ask you this as a legal practitionerโฆ
Do you keep all your source documents?
Or only some of them?
Receipts.
Invoices.
Proof of payment.
These are not โextrasโ โ they are proof that a transaction happened.
A bank statement alone tells us that money moved.
A source document tells us why it moved.
And without the โwhyโ, your books are incomplete.
๐ฌ How do you currently store your receipts?
โข Email
โข WhatsApp
โข Files
โข Or โIโll look for it laterโ
(No judgment โ just conversation.)

๐ Good bookkeeping is not about today โ itโs about later.
Later, when:
โข You apply for your Fidelity Fund Certificate
โข Youโre asked for records
โข You want clarity on your firmโs finances
โข You need to defend your numbers
What you do today determines how smooth that process will be.
The earlier you start recording properly, the easier everything becomes.
Sometimes the solution is not โdo nothingโ โ
itโs finding the right support at the right stage.
โจ Weโll talk about that more.

โ๏ธ โIโve only been operating for a short while, so bookkeeping can wait.โ
This is one of the most common โ and most costly โ misunderstandings I hear.
Bookkeeping does not start when your firm โgrows.โ
It starts the moment money moves.
Every transaction matters.
Every receipt matters.
Every decision you delay today, you will pay for later โ in time, stress, or compliance issues.
You donโt delay bookkeeping because youโre small.
You delay it because no one explained it properly.
๐ Be honest โ have you ever thought bookkeeping could wait?

๐ Letโs talk about source documents โ and why they matter from day one.
Source documents are your receipts, invoices, slips, and proofs of payment.
They are the evidence that a transaction actually happened.
From the very first day your firm starts operating, these documents must be kept and safely stored.
Why?
Because the moment you start your bookkeeping journey, your bookkeeper will (and should) ask for source documents. Not to be difficult โ but because bookkeeping relies on proof.
For example:
Your bank statement shows R2,000 paid to SPAR.
You may say it was for stationery.
But without the receipt that shows what was bought, we cannot:
โข Allocate the expense correctly
โข Apply the correct tax treatment
โข Defend the transaction if ever questioned
A bank statement alone is not enough.
In legal practice, assumptions are risky.
Documentation is protection.
Safe-keeping source documents from day one saves you time, money, and stress later โ especially during audits, inspections, or compliance reviews.
Keep the receipt.
Keep the invoice.
Keep the proof.
Your books are only as strong as the documents supporting them.
