How I keep 10 client's books accurate and stress-free in 7 hours a week:
1. Daily Inbox Check
Quick 10-minute scan each afternoon before I log off. Nothing sits unanswered.
This solves the "will she actually respond" fear before it starts. When a client reaches out, they get an answer the same day, not a "check back next week."
If you're a service provider, block 10 minutes daily just for client questions. It doesn't take much time out of your day, and it builds trust fast.
2. Weekly Categorization Pass
I categorize week by week, not just at month-end.
This solves the pile-up problem. Books left untouched for 30 days tend to make things stressy and depressy. Books touched every week stay clean and boring (in the best way).
Pick one day a week to touch your numbers, even for 15 minutes. Avoidance is what turns a small task into a scary one.
3. Friday Plan & Cutoff
Every Friday, I spend 30 minutes planning next week's top priorities. Then work stops at 3pm. No exceptions.
This solves the Monday morning scramble. I walk into Monday already knowing exactly what to do first, instead of staring at my inbox trying to remember.
Pick a weekly planning window and a hard stop for work. Protect both like they're client meetings, because they are. One with next week's you, one with your family.
TL;DR:
It takes a weekly rhythm to keep books (and life) from piling up.
But checking in daily, reconciling weekly, and planning before you clock out...
That's how you build confidence, walk into Monday with a clear head, and get back to what matters most.
