A practice can be profitable and still feel short on cash. That is because profit and cash are related, but they are not the same thing.

Before year-end, look at what cash is actually coming in, what payroll and contractor payments are still ahead,
what tax payments are coming, and which larger expenses are already committed.

The bank balance by itself does not tell the whole story.

Clean books make the cash conversation much easier because you can see what the money is already being
asked to do.

Not sure whether your therapy practice needs catch-up bookkeeping or a QuickBooks clean-up? The difference is pretty simple.

Catch-up means the bookkeeping has not been completed for several months.

Clean-up means the work was entered, but the numbers do not look right. Accounts may not reconcile, transactions may be duplicated, categories may be wrong, or personal and business activity may be mixed together.

Some practices need both. Either way, the goal is the same: books you can actually trust.

Not sure what you are looking at? Start with a review of the books.

October is Women's Small Business Month, and many private practice owners are women running both the
client side and the business side.

Let's send some support their way. Tag a woman-owned practice or business below and tell us what makes her work worth knowing about.

Community is good for business, and it is good for the humans building it.

October is the start of the last quarter, which makes it a good time to look at more than your calendar.

Are your books caught up? Do you know how profitable the practice has been this year? Is enough cash set aside for taxes and upcoming expenses? And are your numbers helping you plan for 2027?

You do not have to solve everything this week. Start with one clean financial check-in and build from there.

Clean books. Clear numbers. Better year-end decisions.

The calmest tax seasons are built in the fall, not in April.

If you catch up and clean up your books before the year closes, everything downstream gets easier. You will know
your real profit, what you can pay yourself, and roughly what taxes are coming, with time to actually do something about it.

Waiting until year-end just means doing the same work under more pressure.
Start with a cleanup and head into next year on clean books.

If your practice paid any contractors this year, now is the time to get their paperwork in order.

Before 1099 season, you want a completed Form W-9 from each contractor, which gives you their legal name, tax ID, and address.

Collecting it now is far easier than chasing people down in January when the filing deadline is close.

This comes up a lot for group practices that use contract clinicians or supervisees. A little prep now saves a real
headache later.

Not sure who needs a 1099? Book a call and we will sort it out.

If you are setting up bookkeeping from scratch, here is what a proper setup actually includes.

The right software for your practice. Your business details entered correctly. A chart of accounts that matches how
you work. Clean transaction recording. And a monthly routine so nothing piles up.

Most of the cleanups we do trace back to a setup that was rushed at the start. Getting it right the first time saves that
headache.

Not sure yours is set up right? We will review it before small mistakes become a cleanup. Book a call.

A lot of practice owners pay themselves based on how the bank account looks that week. That is a stressful way to do
it.

The bank balance is not your profit. Some of that cash belongs to taxes. Some is already spent on paper but has not cleared. Clean books separate what is truly yours to take from what needs to stay put.

Heading into Q4 is a good time to check that your owner pay actually matches what the practice can support.

Book a call and we will look at what your numbers support.

Before Q4 gets busy, set a few financial goals you can actually hit.

Catch up and clean up the books. Get organized for year-end and taxes. Get clear on your real profit, not just revenue.
And set money aside for what you will owe so January is not a surprise.

None of these require a finance degree. They require current books and a little lead time.

Book a call so we can help you head into Q4 with a clear picture.

Four reports worth a look before the last quarter of the year.

Your Profit and Loss shows whether you are actually making money. Your Balance Sheet shows what you own and
owe. Your cash flow shows whether you can cover the next 90 days. And your accounts receivable shows who still
owes you.

Read together, these four tell you where the practice really stands, not just how busy it feels.

Not sure how to read them? That is what we are here for. Book a call.
