A quiet security risk worth checking: users who still have access to your bookkeeping software but no longer need it, a former employee, an old accountant, anyone whose role has changed. Worth deactivating that access if it's still active. A good habit is auditing your user list every quarter to make sure only the people who need access have it.

I'm the one your operator friends call when they've got too many trips and tours booked to think about bookkeeping. Here's how I help: monthly bookkeeping, even through the busiest summer months, so you always know where your money's going. Clean-ups for when things have gotten messy, no judgment. And tax-ready financials, so your CPA has everything they need.

When every other post on Instagram is celebrating record-breaking seasons, it can be tough to see the less-obvious wins.

To every operator who just made it through peak season: congratulations. Working nonstop in the summer is just what you have to do, but now it's time to slow down. Take a breath. Get out on a boat (without guests), and enjoy the fall colors. Here is my version, on the Siuslaw with my husband rowing and fishing behind me.

If you want to make your bookkeeping harder than it needs to be, just fall behind. It doesn't feel urgent in the moment, until you miss the window to dispute a fraudulent charge, realize you've been paying for a subscription you forgot about, or discover a client never paid an invoice you lost track of. The cost of catching up later is almost always higher than staying current.

Walt Disney had Roy Disney to keep the family finances in order.

Good bookkeeping means having a person who catches the details, answers your questions, and makes sure you're never navigating your finances alone.

A little appreciation for the clients who do these things: answer questions about their transactions in a timely way, keep a business card used only for business expenses, and refer other travel and experience businesses my way when they need a bookkeeper. You know who you are, and I genuinely enjoy opening your QBO file every time.

Nobody loves paying merchant fees, Stripe, Shopify, Square, booking platforms, they all take their cut. But here's the silver lining: every one of those fees is a legitimate tax deduction. The key is making sure they're recorded accurately in your books so that write-off actually makes it onto your return.

Fall means Duck football in our house, so here is your two-minute warning. Extended tax deadlines are closing in fast. S corp and partnership returns are due September 15th, individual, C corp, and calendar-year trust returns are due October 15th. Worth getting ahead of it before the clock runs out.

Your third quarterly estimated tax payment is due September 15th. If you're self-employed, or you're a tour operator or outdoor guide earning income the IRS doesn't withhold from directly, this is the one that sneaks up on people.
