FAQ of the Month: "How are year-end bonuses taxed?"

Bonuses are considered supplemental wages, which means they're taxable just like regular pay. For federal income tax, bonuses are often withheld at a flat rate (currently 22% for most bonuses), plus Social Security, Medicare, and any applicable state taxes.

That's why employees are sometimes surprised when their bonus check is smaller than expected.

A little planning goes a long way:
✔️ Decide on bonus amounts and timing early
✔️ Choose whether to pay bonuses separately or with regular payroll
✔️ Let employees know what to expect

Planning year-end bonuses? Our team is happy to help you get it right. Book a payroll checkup today to start the conversation!

Pay transparency isn't a trend anymore. It's becoming the law.

More states are requiring employers to disclose pay ranges in job postings, and job seekers increasingly expect to see them whether it's required or not.

For small business owners, that means taking a closer look at how roles are posted, how pay is structured, and how it's communicated to your team.

Not sure where your business stands? Our team can help you think through the payroll side of it. Book a payroll checkup today!

Here's a secret from the payroll world: the businesses that have a smooth January start preparing in September.

Waiting until December to think about year-end is how small issues become big headaches. Getting ahead of it looks like:

📋 Verifying employee names, addresses, and SSNs now, so W-2s go out clean
🧾 Tracking contractor payments all year, so 1099s aren't a January scramble
💰 Planning year-end bonuses early, including the tax withholding side
🗂 Reviewing benefits and deductions before open enrollment locks things in

Three months of small steps beats three weeks of chaos. Your January self will thank you.

Happy first day of fall! 🍂 New season, new quarter right around the corner. Before the year-end rush arrives, here's what smart business owners are checking off now:

✅ Q3 payroll tax filings (due in October)
✅ Employee information updates: addresses, W-4 changes, direct deposit details
✅ Holiday staffing plans and seasonal hiring paperwork
✅ Benefits open enrollment prep
✅ Bonus planning, because year-end bonuses have payroll tax implications too

Q4 rewards the prepared. Knock these out now and December gets a whole lot calmer.

Not sure where to start? That's what we're here for. Connect with us and head into Q4 with confidence.

FAQ of the Month: What actually happens if I make a payroll mistake?

It's one of the most common worries we hear from business owners, so let's talk about it honestly.

Depending on the mistake, consequences can include:

💸 IRS penalties and interest for late or incorrect tax deposits
📄 Amended filings, which take time and often professional help
😕 Frustrated employees if paychecks are wrong or late
⚖️ State penalties for missed wage and hour requirements

Here's the good news: nearly all of it is preventable. Most payroll mistakes come from manual processes, missed deadline changes, or trying to juggle payroll alongside everything else on your plate.

That's exactly why a dedicated payroll partner exists. We catch the small stuff before it becomes the expensive stuff.

Happy September 15th to all the CPAs and accountants out there. 🎉
For many of you, today marks one of the biggest business tax deadlines of the year.
Hopefully you can take at least a small breath after getting those partnership and S-Corp returns across the finish line, although we all know the work isn’t quite over yet.
Now it’s on to the final stretch for extended individual returns in October.
To all of the accountants, CPAs, bookkeepers, and tax professionals working long hours behind the scenes for their clients: good luck over the next month, and thank you for everything you do to keep small businesses running.
One thing I’ve learned working in payroll is just how connected payroll and accounting really are. When payroll is accurate, organized, and handled properly throughout the year, it can make life a little easier for both the business owner and their accountant when deadlines like these roll around.
That’s one of the reasons I enjoy building relationships with CPAs and accounting professionals through Payroll Vault, my goal is to be a reliable payroll resource for you and your clients, not create more work for your office.
Good luck with the final push. You’re almost there! 💪

Here's a payroll cost that doesn't always show up on an invoice:
Your time.
Think about everything that happens before and after someone clicks “process payroll.”
- Collecting hours.
- Tracking down missing information.
- Entering changes.
- Reviewing everything.
- Handling employee questions.
- Fixing problems.
- Talking with support.
Ten minutes here and twenty minutes there can add up quickly over an entire year.
A good payroll process shouldn't just get employees paid.
It should make payroll easier to manage.
How much time do you think payroll takes from your business during a typical pay period?

Your employees got paid.
So payroll must be working…right?
Not necessarily.
A payroll process can technically “work” while still requiring:
• Hours of manual work
• Constant follow-up with employees
• Re-entering information
• Long waits for support
• Repeated corrections
• More owner involvement than necessary
Sometimes the question isn't:
“Did payroll run?”
It's:
“Is this the best way for our business to run payroll?”
If your payroll process creates unnecessary work every pay period, it may be worth taking a closer look before another year begins.

It's National Payroll Week, a national celebration of something most people never think about until it goes wrong: the paycheck.

Payday isn't just a transaction. It's a promise between an employer and every person on their team. It says: your work matters, and you can count on us.

Keeping that promise takes more than hitting "run payroll." It takes accurate calculations, correct withholdings, on-time tax filings, and someone paying attention to the details every single pay period.

That's the work we're proud to do for the businesses in our community. This week, we're celebrating everyone who makes payday happen.
