🍂 Your books could probably use a little fall cleanup too. Fall always seems to come with some version of cleaning things out, getting organized, and preparing for what's coming next. Your bookkeeping isn't much different. And with the end of the year getting closer, October is actually a pretty good time to look around your books and ask:

🍁 Are your accounts reconciled? If the bank says one thing and QuickBooks says another, that's something worth figuring out now.

🍁 Are there transactions you've been putting off dealing with? Those mysterious charges sitting in Ask My Accountant aren't going to identify themselves. 😂

🍁 Are there old invoices or bills still hanging around? Take a look at what's actually outstanding — and whether everything showing as unpaid really is.

🍁 Have you looked at your financial reports lately? Not just whether they're there, but whether the numbers actually make sense based on what you know happened in your business.

🍁 Is your bookkeeping caught up? Because January is a terrible time to discover you actually stopped keeping up sometime around July.

You don't have to wait until tax season to find out there's a problem. A little cleanup now gives you time to fix things, ask questions, and head into the last few months of the year with a much clearer picture of where your business stands. Think of it like raking leaves. A few here and there aren't so bad. Ignore them long enough, though, and suddenly you're staring at a whole yard full of them wondering where you're even supposed to start. 🍂😂

Monday mornings as a bookkeeper 💜

Tea, breakfast, and a few quiet hours getting things organized before the week really gets moving.

One thing I really appreciate about running my own bookkeeping business is the flexibility. My “office” doesn’t always have to look the same — but the responsibility to my clients does.

So today starts with reconciliations, reviewing transactions, checking for anything that needs a little more attention, and figuring out what needs to be tackled next.

There’s something satisfying about starting a new week by bringing a little more order to someone else’s business. 😊

Fresh Tea. Fresh to-do list. Cleaner books.

Not a bad way to start a Monday. ☕📚💜

Nonprofit bookkeeping isn't just regular bookkeeping with a different business structure.

The basic accounting principles are still there.

Money comes in.
Money goes out.
Accounts need to be reconciled.
Transactions need to be recorded correctly.

But nonprofits have another layer to think about:

Where did the money come from, what was it intended for, and how was it actually used?

A $5,000 deposit doesn't tell the whole story.

Was it an unrestricted donation the organization can use where it's needed most?

Was it given for a specific program or purpose?

Did it come from a grant with its own requirements?

Those distinctions matter because nonprofit bookkeeping isn't only about knowing how much money the organization has.

It's also about being able to show what that money supported.

That can mean keeping different programs or funding sources organized, properly tracking restricted and unrestricted funds, maintaining documentation, and producing reports that help leadership understand what's happening financially.

And when grant funding is involved, good recordkeeping becomes even more important.

If an organization receives funding for a particular program, it should be able to follow the trail from the funding it received to the expenses associated with carrying out that work.

That doesn't happen automatically just because everything made it into QuickBooks.

The bookkeeping system has to be set up in a way that actually captures the information the organization needs.

That's why I think understanding how an organization operates should come before deciding how its bookkeeping should be structured.

Because good nonprofit bookkeeping doesn't just answer:

"How much did we spend?"

It should also help answer:

"What did we spend it on, where did the funding come from, and can we clearly show that?" 💜

For those who work with nonprofits: what's one part of nonprofit finances you wish more people understood?

Your bookkeeping needs probably won't stay the same as your business grows.

When a business is small, bookkeeping might feel pretty straightforward.

Categorize the transactions.
Reconcile the bank account.
Run a few reports.

But businesses don't stay exactly the same.

You might start carrying inventory.

You might take on projects and realize you need to know which jobs are actually profitable.

You might buy equipment that needs to be tracked separately.

You might hire contractors and suddenly have 1099s to think about.

Or maybe business got busy, bookkeeping fell behind, and now there are several months of transactions waiting to be sorted out.

That's one of the reasons I don't think bookkeeping should look exactly the same for every business.

Sometimes what a business needs is consistent monthly bookkeeping — properly categorized transactions, reconciled accounts, and reliable financial reports.

Sometimes it needs a cleanup first.

Sometimes the bigger issue is understanding where the money is actually going, which may mean job costing, inventory tracking, or more detailed management reporting.

And sometimes it's the day-to-day financial administration — keeping track of what customers owe you or what your business still needs to pay.

They're all bookkeeping problems, but they're not the same bookkeeping problem.

That's why I like to understand how a business actually operates before deciding what the bookkeeping should look like.

Because the goal isn't to give every client the longest possible list of services.

It's to figure out:

What does this business actually need from its books?

Then we build from there. 💙

What do you actually want from your bookkeeper?

I think most small business owners want more than someone who can enter transactions into QuickBooks.

You want to know your books are accurate. You want to understand what your numbers are telling you. And when you need to make a decision, you want to feel confident that you're working with real information instead of guessing.

That’s a big part of how I approach bookkeeping.

📌 I pay attention to the story behind the transactions.
If something looks unusual, doesn’t make sense, or doesn’t seem to fit how the business actually operates, I’m going to ask about it rather than just picking a category and moving on.

📌 I look for ways to make things easier.
If there’s a process we can simplify or automate so you’re spending less time on bookkeeping admin, I’m all for it. Your bookkeeping should support your business, not create more work for you.

📌 I help you keep an eye on what’s happening.
That means keeping things organized and up to date so problems are easier to spot before they turn into much bigger ones.

📌 And I want you to actually understand your reports.
A Profit & Loss or Balance Sheet isn’t very helpful if I send it to you and you have no idea what you’re looking at. I’d much rather help you understand what those numbers are saying about your business.

Because to me, good bookkeeping isn’t just about keeping QuickBooks tidy.

It’s about giving you books you can understand, trust, and actually use. 💜

And every business is a little different, which is exactly why I don't believe in assuming what someone needs before I understand what they're trying to accomplish.

If you could change one thing about the financial side of your business right now, what would make the biggest difference?

Happy Labor Day! 💜

Running a business can make it surprisingly difficult to actually stop working.

There’s always another email to answer, another task waiting, another idea to work on, and probably something you told yourself you’d “just finish really quick.” 😅

But today is a good reminder that hard work deserves to be recognized — and so does rest.

Whether you’re an employee, a business owner, caring for others, building something of your own, or wearing several of those hats at once, I hope you’re able to give yourself a little time today to slow down and enjoy what you’ve worked so hard for.

The work will still be there tomorrow.

Today, spend some time with the people (and pets 🐾) you love, recharge a little, and be proud of everything you’re building.

Happy Labor Day from DaCruz Bookkeeping! 💜🐾

And because I can’t resist a good conversation:

What does a day off actually look like for you — completely unplugging, or are you guilty of sneaking in “just one little thing” too? 😂

Before I Recommend a Service, I Want to Understand the Problem
I don’t think the first question in a bookkeeping conversation should be:
“Which package do you need?”
I’d much rather ask:
“What are you trying to solve?”
Because not every business that reaches out to a bookkeeper needs the same thing.
Maybe your books are already in pretty good shape, but you’re tired of keeping up with them yourself.
Maybe QuickBooks has become a little messy and you need help figuring out what happened.
Maybe you need a cleanup.
Maybe you just need some guidance so you can feel more confident managing things on your own.
Those are completely different situations — and I don’t think they should automatically come with the same solution.
That’s why I prefer to understand the business first.
What’s working?
What isn’t?
What’s taking up too much of your time?
And what would actually make things easier for you?
Then we can figure out what the bookkeeping relationship should look like.
Because I don’t want to sell someone services they don’t need just because they happen to fit neatly into a package.
I’d rather build the scope around what will actually help the business.
Understand the problem first. Build the solution second. 💜

Bookkeeping is a lot more than entering numbers. 💜

From the outside, bookkeeping can look pretty simple: transactions come in, someone puts them into QuickBooks, and reports come out.

But there’s a lot happening behind the scenes to make sure those reports actually mean something.

A transaction being in QuickBooks doesn’t necessarily mean it’s right.

Good bookkeeping means making sure:

📌 Transactions are categorized correctly so your income and expenses tell the right story.

📌 Accounts are reconciled so what’s in QuickBooks actually matches what happened at the bank.

📌 Duplicates, missing transactions, and other inconsistencies are caught instead of quietly becoming bigger problems.

📌 Your financial reports give you information you can actually use to understand how your business is doing.

📌 Your records stay organized throughout the year instead of becoming a mad scramble when someone suddenly needs them.

And honestly, I think some of the best bookkeeping happens quietly in the background.

You shouldn't have to spend your Tuesday night wondering why your bank balance doesn't match QuickBooks or digging through three months of receipts trying to figure out what happened. 😅

Your books should be something you can rely on—not another thing sitting on your never-ending to-do list.

Because keeping the books clean is important.

But helping you understand and trust the numbers behind your business? That's where the real value is. 💜

And if doing your own bookkeeping is taking more and more time away from actually running your business, it might be time to ask whether your time is better spent somewhere else.

⚠️ A small bookkeeping mistake doesn't always stay small.

One of the things I think is easy to overlook about bookkeeping is that simply having everything entered into QuickBooks doesn't necessarily mean your books are accurate.

You can have a nice, clean-looking set of books with every transaction entered...

and still have numbers that aren't telling you the right story.

Sometimes it comes down to something as simple as:

🔹 A transaction in the wrong category

If expenses aren't categorized correctly, your reports may show a very different picture of where your money is actually going.

🔹 An account that hasn't been reconciled

The balance in QuickBooks might look right, but reconciliation is what helps verify that what's recorded in your books actually matches what happened at the bank.

🔹 A transaction that was entered twice

Duplicates can sneak in, especially when transactions are being added through a bank feed while other entries already exist.

One duplicate might not seem like a huge deal.

But enough small mistakes can start affecting your:

📊 Profit & Loss
🏦 Account balances
📑 Balance Sheet
💰 Information provided for tax preparation
📈 Business decisions

And that is where bookkeeping mistakes become more than bookkeeping mistakes.

Imagine looking at your Profit & Loss and deciding that you can afford a new employee, piece of equipment, or another big investment.

You trust the report.

You make the decision.

Then you find out later that the numbers you were relying on weren't accurate.

The business itself wasn't necessarily the problem.

The information you were using to understand it was.

That's why good bookkeeping isn't just about getting transactions into QuickBooks.

It's about making sure they're recorded correctly, reconciling the accounts, reviewing what's there, and paying attention when something doesn't make sense.

Because ultimately, the goal isn't just to have up-to-date books.

It's to have books you can trust. 💙

**Confession: I Actually Enjoy Cleaning Up Messy Books 😂**

Give me a QuickBooks file with unreconciled accounts, transactions in strange places, missing information, and several months that need attention...

And instead of thinking *"Oh no,"* I'm usually thinking:

**"Okay... where's the loose thread?"** 🧵

Cleaning up messy books reminds me a little bit of embroidery.

If you've ever looked at the **back** of an embroidery project, you know it can look like absolute chaos.

Threads crossing over each other. Knots. Loose ends. Different colors going in every direction.

But turn it over?

There's a picture.

Bookkeeping cleanups can feel surprisingly similar.

Maybe I start with a bank reconciliation.

That leads me to a duplicate transaction.

Fixing that uncovers something categorized incorrectly.

Then I find a transfer that was accidentally recorded as income.

So I follow that thread.

One thing leads to another, and little by little, the mess starts making sense.

Eventually, all those individual transactions stop looking like random pieces of information.

**They start showing the full picture of the business.**

And honestly?

That's the part I enjoy most.

Not because I expect business owners to hand me perfectly organized books.

Business owners are busy **running their businesses.**

They're taking care of customers, answering emails, finding new work, solving problems, and handling all the other things that need their attention.

Sometimes bookkeeping gets pushed aside.

One weekend becomes three.

Three weeks become a few months.

And suddenly QuickBooks looks a whole lot like the back of an embroidery hoop. 😅

**There's no judgment from me.**

Just give me the loose thread.

I'll start untangling. 🧵💙
