Switching to QuickBooks is easy. Switching cleanly is not.

The migrations that go wrong all go wrong the same way: the software gets installed, the historical data gets dragged across half-mapped, and six months later nobody trusts a single report in it.

What a clean switch involves — mapping your chart of accounts before anything moves, bringing balances over reconciled rather than raw, setting up payroll and sales tax properly the first time, and training whoever will actually use it daily.

Then you get the thing you switched for: reports you believe.

We handle the transition end to end, including the training. You keep running the business.

If you've switched systems before — what broke?

Closed by the 10th. Here's what has to be true by the 9th.

A close date you can promise your board is built backwards from the last working day, not forwards from hope.

The sequence:

Day 1–3 — Bank and credit card accounts reconciled. Every unmatched item chased, not carried.

Day 3–5 — Payroll posted and allocated. Grant-funded time tied to timesheets, not to the budget.

Day 5–7 — Accounts payable cut off and accrued. Shared costs allocated on their documented basis.

Day 7–9 — Budget-to-actual reviewed by grant. Variances explained in writing while the explanation is still fresh.

Day 10 — Statements issued. Balance sheet, P&L total and by grant, cash flows, projection, variance, KPIs.

Nothing here is clever. It's a sequence held every single month, which is much harder and worth much more.

Your 990 is a fundraising document. Most organizations file it like a chore.

Every serious funder, major donor, and charity rating service reads it. It's frequently the first honest picture of your organization anyone outside it ever sees — program spend, executive compensation, governance answers, the story your numbers tell without you in the room.

Which means the filing is only half the job. The other half is making sure what it says is what you'd want said.

That comes from the twelve months underneath it: expenses coded to the right functional categories as they happen, governance answers that match your actual practice, program spend that reflects what your programs actually cost.

We prepare the 990, and we walk your board through it before it's filed — so the people who sign it can explain it.

When did your board last read your 990 line by line?

All your books, or just the gaps. You name it.

We meet three situations constantly, and they need three different answers:

You have no finance function. We become it — bookkeeping through to CFO-level reporting, on your systems or on ones we build for you.

You have a finance person who's underwater. We take the pieces, drowning them: budgeting, billing, accounts payable, payroll, bank reconciliations. They keep the work they're good at.

You're fine most of the year, and then there's the audit and the 990. We handle those two, lead the process, and hand you back a clean file.

No one is sold a package that doesn't fit their year. And nobody's existing finance staff gets treated as the
problem — capacity is the problem.

Which of the three is your organization today?

The grant ended. The work didn't.

Closeout is where otherwise well-run grants go wrong, because the program team has moved on and the finance team is holding a reporting obligation with no program to fund the hours.

What closeout actually requires:

· The Final expenditure report is reconciled to the general ledger, not to the budget.
· The same Allocation method is applied and documented throughout the year.
· We do NOT leave funding on the Table! Any Unspent funds are identified, Budget Modification or Extension is requested on time.
· Subrecipient and vendor obligations settled and documented.
· Records retained to the funder's schedule, not yours.

A closeout done properly is also your next application's strongest exhibit. Funders re-fund organizations that finish cleanly.

The checklist is in the document below. Save it before your next end date.

A state-funded audit. A compressed deadline. Internal challenges already in motion.

This is the moment most organizations discover what their accounting actually is.

What we did: worked directly with the state auditors rather than around them. Produced the detailed documentation they asked for, in the form they asked for it. Explained the financials in plain language when a number needed context. Held the timeline.

The audit closed successfully — and the organization came out of it with stronger financial credibility than it went in with.

Here's the part worth sitting with: an audit is not a test of your books. It's a test of your documentation habits, twelve months earlier.

Rising Hope for Change let us share their experience. Their Executive Director's words are in the image.

If an audit letter arrived next week, what would the first 48 hours look like at your organization?

You didn't start a business to run payroll.

And yet: biweekly runs, quarterly filings, W-2s and 1099s in January, a sales-tax deadline you check twice because the penalty for guessing is real.

None of it grows anything. All of it has to be right.

What moving it off your desk looks like — payroll processed on schedule, basic HR handled, year-end forms produced without a scramble, and one person you can call who already knows your books.

That's the whole offer. You get your week back, and the filings are still right.

What's the one task you'd hand over first?
