Over the past several posts, I've shared some of the red flags I look for when reviewing a business's books.

Why?

Because you don't have to be a bookkeeper to recognize when something might not be right.

A few things you can look for yourself:

🚩 A big difference between your bank balance and the balance in your books
🚩 Bank and credit card accounts that haven't been reconciled
🚩 Growing balances in Uncategorized or Ask My Accountant
🚩 Assets or loans missing from your Balance Sheet
🚩 Loan balances that don't decrease as you make payments
🚩 An Accounts Receivable Aging Report that doesn't reflect who actually owes you money
🚩 Financial reports that simply don't make sense

Finding one of these doesn't automatically mean your books are a mess.

But it does give you a reason to ask questions.

And that's really the point of this series.

Your bookkeeping shouldn't just be something you maintain because you need it for taxes. Your financial reports should reflect what's actually happening in your business and give you information you can use to make decisions.

I've pulled all 7 Bookkeeping Red Flags together in my latest blog post, along with some simple things you can check yourself.

How many of these have you checked in your own books lately?

Think your bookkeeping is in good shape? Here are 7 common red flags you can look for yourself—from unreconciled accounts and old invoices to loan balances that don't make sense.

🚩 Red Flag #7: Your Financial Reports Just Don't Make Sense

You don't have to be an accountant or bookkeeper to look at your financial reports and ask:

“Does this make sense?”

You know your business better than your accounting software does.

If you know you spent thousands of dollars on advertising this year, but your Profit & Loss shows $300 in Marketing Expense — where did the rest go?

If you've had a strong month, but your Profit & Loss shows a significant loss — why?

If you have employees, but your payroll expenses seem unusually low — what's missing?

If your business has cash in the bank, but the Balance Sheet shows a negative bank balance — what's going on?

🚩 When your financial reports don't reflect what you know is happening in your business, don't assume they're right just because QuickBooks or Xero produced them.

Accounting software can calculate the information it has.

It can't always tell you whether that information was recorded correctly.

Pull up your Profit & Loss and Balance Sheet and look at them with what I call the “common-sense test.”

Do the income and expenses seem reasonable?
Are the accounts you expect to see there?
Do the numbers reflect what you know happened in your business?
Does anything make you stop and think, “That can't be right”?

If so, don't ignore it. Investigate.

Because accurate bookkeeping isn't just about having reports you can hand to your tax preparer.

It's about having financial information you can trust when it's time to make business decisions.

👉 When you look at your financial reports, do the numbers tell the story you expect them to?

🚩 Red Flag #6: Your A/R Aging Report Doesn't Match Reality

Your accounting software says customers owe you $25,000.

But do they really?

If you invoice customers through QuickBooks or Xero, your Accounts Receivable (A/R) Aging Report shows which customers owe you money and how long those balances have been outstanding.

Take a look at the invoices showing as 90+ days past due.

Do you recognize them?

More importantly, do those customers actually still owe you that money?

An old invoice doesn't always mean you have a customer who hasn't paid.
It could mean:

✔️ A payment was received but never applied to the invoice
✔️ A deposit was recorded as income instead of being matched to the invoice
✔️ A credit wasn't applied correctly
✔️ An invoice was duplicated
✔️ An old balance was never cleaned up

Also watch for negative customer balances. Those can be another clue that payments, credits, or invoices haven't been recorded correctly.

If your A/R Aging Report says customers owe you $25,000, but you know $10,000 of those invoices were already paid, you don't really have $25,000 waiting to come through the door.

And that's important when you're making decisions based on expected cash flow.

Pull up your A/R Aging Report and look closely at those older balances.

🚩 If the report doesn't match what you know about who actually owes you money, it's time to investigate.

👉 How confident are you that the balances on your A/R Aging Report are actually collectible?

🚩 Red Flag #5: Your Loan Balance Never Seems to Change

You're making the loan payment every month, but when you look at your Balance Sheet, the amount you owe isn't going down.

That's a red flag.

One common bookkeeping mistake is recording the entire loan payment as an expense.

But your loan payment typically has two main parts:

💰 Principal — reduces the amount your business owes
💰 Interest — generally recorded as an expense

For example, let's say your monthly payment is $750.

If $600 is principal and $150 is interest, recording the entire $750 as “Loan Expense” means your books aren't properly reducing the loan balance.

The result?

Your Balance Sheet may continue showing that you owe more than you actually do, while your Profit & Loss may show more expenses than it should.

Pull up your Balance Sheet and look at your business loan balances.

Are they decreasing as you make payments?

Then compare the balance in your books to your most recent loan statement.
They should make sense together.

🚩 If you've been making payments for months but the balance in your accounting software hasn't moved or is nowhere close to the lender's balance, it's time to investigate.

Recording the principal and interest correctly helps keep both your Balance Sheet and your Profit & Loss accurate.

👉 When was the last time you compared the loan balances in your books to your actual loan statements?

🚩 Red Flag #4: Things You Own or Owe Are Missing From the Balance Sheet

For example, does your business own:
Vehicles
Major equipment
A building or other significant assets

And does your business owe money on:
Vehicle or equipment loans
Business loans
Lines of credit

If you know these things exist but can't find them anywhere on your Balance Sheet, that's a bookkeeping red flag.

Your Balance Sheet should help show what your business owns, what it owes, and the owner's equity in the business.

Missing assets or liabilities can mean you're not seeing the complete financial picture.

Don't worry about understanding every line on your Balance Sheet. Start with what you already know.

If you have three company vehicles, can you find the related assets?

If you're making payments on two business loans, can you find those liabilities?

And do the balances look reasonable?

🚩 If something you KNOW exists in your business is nowhere to be found on your Balance Sheet, it's worth investigating.

Your financial reports shouldn't just contain numbers. They should reflect the reality of your business.

👉 Pull up your Balance Sheet. Does it tell the same story as your business?

🚩 Red Flag #3: “Uncategorized” and “Ask My Accountant” Keep Growing

Not sure where a transaction belongs?

Putting it in Uncategorized Expense or Ask My Accountant temporarily isn't necessarily a problem.

The red flag is when transactions go there…and never leave.

These accounts are meant to be temporary parking spots, not permanent homes.

When large numbers of transactions pile up there, you may not have an accurate picture of where your business is actually earning or spending money.

For example, if $12,000 is sitting in Uncategorized Expenses, what was that $12,000 actually for? Advertising? Subcontractors? Equipment? Software? Repairs?

That information matters. not just for tax preparation, but for understanding the cost of running your business.

Run your Profit & Loss and look for:
✔️ Uncategorized Income
✔️ Uncategorized Expenses
✔️ Ask My Accountant
✔️ Other vague or catch-all categories with large balances

A few recent transactions waiting for clarification? Probably not a big deal.
Dozens or hundreds accumulating month after month? 🚩 That's worth investigating.

Clean bookkeeping isn't just about putting every transaction somewhere.

It's about putting it in the right place so your reports give you information you can actually use.

👉 Take a look at your Profit & Loss. Do you have money hiding in one of these accounts?

🚩 Red Flag #2: Your Accounts Haven't Been Reconciled in Months

Check your reconciliation history for each bank and credit card account.

When was the last completed reconciliation?

Last month? Six months ago? Never?

You log into QuickBooks or Xero, categorize the transactions in your bank feed, and get that number down to zero.

Done, right? Not quite.

Categorizing transactions from the bank feed is not the same as reconciling your account.

Reconciliation is the process of comparing what's recorded in your accounting software to your actual bank or credit card statement to make sure everything is accounted for.

Without regular reconciliations, your books could contain:
✔️ Missing transactions
✔️ Duplicate transactions
✔️ Deleted or changed transactions
✔️ Incorrect beginning balances
✔️ Payments or deposits recorded incorrectly

And those problems can flow right into your Profit & Loss and Balance Sheet.

If your accounts haven't been reconciled, it's hard to know whether the financial reports you're using to make business decisions are accurate.

👉 When was the last time your business accounts were reconciled?

🚩 Red Flag #1: Your Bank Balance and Book Balance Are Way Off

Open your accounting software and compare the balance showing for your bank account with the actual balance at your bank.

They don't have to match exactly. Outstanding checks, deposits in transit, and timing differences can create legitimate differences. But a large difference you can’t explain is a bookkeeping red flag.

It could mean:
✔️ Transactions are missing
✔️ Transactions have been duplicated
✔️ Something was deleted or changed
✔️ Deposits or payments were recorded incorrectly

One of the first questions to ask is:

When was the account last reconciled? The bank feed helps bring transactions into your books. Reconciliation helps verify that what is recorded in your books agrees with what actually happened at the bank.

Clean books aren't just about getting transactions categorized.

They're about having numbers you can trust.

Go take a quick look. How does your bookkeeping balance compare to your actual bank balance?
