5 Signs Your QuickBooks Is Giving You the Wrong Numbers
QuickBooks is a powerful tool, but it doesn't know whether the information being entered is correct. If your books aren't being maintained properly, your financial reports can look professional while still being completely wrong.
Here are five warning signs that your QuickBooks file may need attention.
1. Your QuickBooks Bank Balance Doesn't Match Your Actual Bank Account
If the balance in QuickBooks is significantly different from your bank statement, don't ignore it.
There could be missing transactions, duplicate entries, uncleared transactions, or transactions recorded to the wrong account.
What to do: Reconcile every bank and credit card account regularly and investigate differences rather than simply adjusting the balance.
2. Your Profit Seems Too High—or Too Low
Does your profit and loss statement show a number that doesn't seem to match what you're experiencing in your business?
For example, you may feel like you're spending a lot of money but your expenses appear unusually low. Or your business seems busy and profitable, but the reported profit is surprisingly small.
This can be a sign that transactions are being categorized incorrectly, expenses are missing, or income has been recorded improperly.
What to do: Review your income and expense categories and compare your financial statements with your actual business activity.
3. Your Accounts Receivable Doesn't Make Sense
If QuickBooks says customers owe you $25,000 but you know most of those invoices have already been paid, your accounts receivable may not be accurate.
Old unpaid invoices can remain on the books even when the money was actually received and recorded incorrectly.
What to do: Review your outstanding invoices regularly and make sure customer payments are being applied to the correct invoices.
4. Your Balance Sheet Contains Old or Strange Numbers
Many business owners look at their profit and loss statement but rarely review their balance sheet.
That's a mistake.
Old loans, negative asset balances, large undeposited funds balances, or unexplained amounts in accounts can indicate that transactions haven't been recorded correctly.
What to do: Review your balance sheet at least periodically and investigate anything that doesn't make sense.
5. You Don't Trust Your Numbers
This may be the biggest warning sign of all.
If you're constantly wondering:
"Can I afford to hire someone?"
"How much money did we actually make?"
"Why is my bank account so low?"
"How much do customers owe me?"
"Am I spending too much?"
…and you can't get a reliable answer from QuickBooks, your books aren't doing their job.
Your bookkeeping should give you confidence—not more questions.
QuickBooks Is Only as Good as the Information Going Into It
QuickBooks can automate a lot of bookkeeping, but it can't determine whether transactions have been entered, categorized, and reconciled correctly.
If you're unsure whether your QuickBooks file is accurate, a professional review can uncover errors before they become bigger problems.
