📍 Where you work can affect what you can claim

Your workspace isn’t just about where you feel most productive, it can also affect which business expenses you may be able to claim.

🏠 Working from home
You may be able to claim a proportion of household costs, such as heating, electricity and internet, where they relate to your work.

🏢 Working from an office
If you rent a dedicated business premises, costs such as rent, business rates, utilities and certain office expenses may be allowable.

☕ Working from a coffee shop
If you work away from home, some costs may potentially be allowable where they’re genuinely for business purposes but buying a coffee every time you work remotely doesn't automatically make it a business expense!

The key? It’s not simply where you work, it’s why you're spending the money and whether it’s genuinely for your business. 💷

Tax rules depend on your circumstances, so always check what applies to you.

👀 I’m not trying to be nosy…

…but there are a few things you might want to run past your accountant before you go ahead and buy them.

We know it can feel like we’re constantly talking about tax, expenses and what you can and can’t claim but sometimes a quick conversation before you spend the money can make things much clearer.

A new vehicle?
Big piece of equipment?
Property?
Business trip?
Client entertaining?
Hiring someone?
Changing how you pay yourself?

Give me a heads up.

I can help you understand the potential tax and accounting implications before you commit, rather than trying to work it all out afterwards.

💷 Turnover, profit, wages, expenses… what does it all actually mean?

We talk about these terms all the time as accountants, but we know it’s easy to get them mixed up especially when you’re busy running your business.

So here’s your quick reminder. Save this for later! 📌

TURNOVER
The total amount your business sells or invoices for before taking away any expenses.

EXPENSES
The costs of running your business - things like materials, software, insurance, rent, travel and professional fees.

PROFIT
What’s left after your allowable business expenses have been deducted from your turnover.

WAGES
Money paid to employees for the work they do. If you’re a sole trader, your personal drawings are not a business expense in the same way employee wages are.

GROSS
Usually means an amount before deductions - for example, gross pay is your pay before tax and National Insurance are taken off.

NET
Usually means an amount after deductions - for example, net pay is what actually reaches your bank account after deductions.

The simple version:

Turnover → minus allowable expenses → = profit

And remember: £100,000 turnover does not mean you made £100,000 profit!

If you ever find yourself thinking “Wait… which one am I looking at?” -you’re definitely not alone.

📅 SELF ASSESSMENT REMINDER

If you became self-employed during the 2025/26 tax year, don’t forget that 5 October 2026 is the deadline to register for Self Assessment with HMRC.

If this is your first year of being self-employed, it’s easy for this one to slip under the radar especially when you’re busy getting your business off the ground.

So, if you haven’t registered yet, now is a good time to get it ticked off your list.

Not sure whether you need to register or what you need to do next?

Get in touch and we’ll help you understand what’s required. 📩

Before deciding how much money is available to spend or take from the business, remember that your account balance may need to cover:

💷 Corporation Tax – money owed on your company's taxable profits.

💷 VAT – if you're VAT registered, some of the money coming into your account may be VAT that you'll need to pay to HMRC.

💷 PAYE and National Insurance – if you pay yourself or employ staff through payroll.

💷 Business expenses – including suppliers, subscriptions, insurance, rent and other upcoming costs.

💷 Your accountant and other professional costs – don't forget to plan for annual or regular business expenses.

💷 Future commitments – such as wages, invoices you know are coming up or planned investments in the business.

A useful habit to get into 👇

Don't just look at your bank balance and think, “I've got £20,000 to spend.”

Instead, ask:

How much of this money is already committed?
How much needs to be set aside for tax?
What bills and expenses are coming up?
What is genuinely available to spend or reinvest?

Understanding the difference between cash in the bank, profit and available money is one of the most important parts of running a healthy limited company.

Know your numbers before you spend your money. 📊

When you're busy managing projects, meeting deadlines and delivering great work for clients, it's easy to focus on the money coming in and forget about what needs to go out.

As a freelancer, it's important to plan for:

📌 Income Tax
📌 National Insurance
📌 Business expenses
📌 VAT, where applicable
📌 Future tax payments

One of the biggest benefits of working with an accountant is knowing where you stand financially throughout the year rather than receiving an unexpected tax bill later on.

Good financial planning gives you more confidence and control over your freelance career.

Can freelancers actually take a holiday? ☀️

One of the biggest challenges of being self-employed is that when you stop working… the income can stop too.

Unlike employees, genuinely self-employed people are not usually entitled to paid holiday, which means taking time away from work often needs to be planned and funded in advance.

So, how can you make taking a holiday feel less stressful? 👉

Whether you're a freelancer, self-employed or running your own limited company, good financial planning can give you the confidence to take time off without worrying about every day you're away from your desk.

Freelance and figuring out the numbers? 💻

Being freelance gives you so much freedom but it also means you're responsible for understanding the financial side of your business.

What should you be putting aside for tax?
What expenses can you actually claim?
When should you register for VAT?
How do you pay yourself?
And are you making the most of your business financially?

These are exactly the areas where having the right accountant can make such a difference.

Katie works closely with small businesses and freelancers, offering practical, commercial advice and plenty of support, especially when you need someone to help you make sense of it all.

If you're freelance and want an accountant who gets small businesses and actually takes the time to understand yours.
