🗓️ Most people think their accountant just files taxes once a year.

If that's all you're getting, you're getting about a tenth of the value.

Here's what we're actually doing in the background, all year:

→ Checking your instalments against this year's income, so April holds no surprises
→ Watching cash flow before it gets tight
→ Running the numbers on how you pay yourself (salary vs dividends isn't a coin toss)
→ Catching CRA deadlines before they turn into penalties

None of it shows up as a dramatic moment. It shows up as problems you never had, and money that stayed in your business.

That's the difference between a tax-time accountant and a year-round partner.

Only hear from yours in April? Let's change that.👇

🚛 🤷🏼 The CRA doesn't care that you use your truck for work. It cares about whether you wrote it down.

This is the one that catches contractors and trades every year. The claim itself is usually fine. The record behind it is what falls apart, because nobody can reconstruct a year of driving from memory in April.

The rules are above. The only one that really matters is the first: start the log today.
We recommend using Mile IQ for accurate tracking.

1. Gross margin — what’s left after direct costs, before overhead. If you don’t know this, you don’t know if you’re actually pricing correctly.

2. Break-even point — the minimum revenue you need each month just to cover your fixed costs.

3. Accounts receivable — how much is owed to you right now, and how much of it is overdue.

4. Cash runway — how many months you could operate if revenue stopped tomorrow.

5. Net profit margin — what’s actually left after every expense and tax, not just what’s sitting in the bank account today.

Want help building a simple dashboard for these five? Let’s set it up.

🧾The random receipts are money you're about to lose. 💸

Every receipt you can't find at tax time is a deduction you don't claim. Miss enough of them and you're paying tax on money you already spent running your business.
It's never a big number on any single day. Over a year, it's real dollars, and you never even see them leave.

The fix isn't a fancy system. It's a five-second habit, and one boring rule.
Centralize your business spending to one bank account and one credit card. It makes every dollar easier to track and cuts your risk of missing a deduction.

Our clients use Dext: snap a photo of the receipt while it's in your hand, it reads the details, and it lands straight in your books. No shoebox. No data entry. No guessing in April what that charge was for.
If your current system is a glovebox and good intentions, let's tighten it up.

1. How much should I actually be paying myself? — This depends on your structure, but consistency matters more than the exact number. Pay yourself a regular amount you can sustain, not whatever’s left over.

2. What does it really cost to work with an accountant or bookkeeper? — It varies by scope, but think of it less as a cost and more as the price of avoiding penalties, missed deductions, and 2am spreadsheet panic.

3. Do I actually need a separate business bank account? — Yes, even as a sole proprietor. Mixing personal and business spending is the fastest way to lose track of what you actually earned.

4. What’s the first financial thing I should set up when I start a business? — A simple system for tracking income and expenses from day one, before you “need” one. Retrofitting records later is painful.

5. Should I worry if I get a letter from the CRA? — Don’t ignore it, but don’t panic either. Read it carefully, note the deadline, and loop in your accountant before responding.

Got a question that’s not on this list? Book a free consult and let’s talk it through.

⚠️ Your next CRA instalment is due September 15 and there's a good chance the amount you're about to pay is wrong. Not because you did anything incorrectly, but because of how the CRA calculates it.

Those instalment reminders are based on last year's income. So the moment this year looks different from last year and it almost always does, the number stops matching reality. It's wrong in one of two directions, and both cost you.

đź”» If your income is down this year
Paying the amount on the reminder means sending the CRA more than you actually need to. That's your cash tied up with the government for months, when it could be sitting in your business. You're not in trouble, you're just quietly overpaying.

🔺 If your income is up this year
This is the one that stings later. You pay the reminder, feel caught up, and then get hit with a larger-than-expected balance at filing time, plus interest on it. The instalment felt handled; the shortfall was building the whole time.

The fix is simple, and it takes us a couple of minutes: check the amount against what you're actually earning this year, before that September payment goes out. If it needs adjusting up or down, better to know now.

Want us to check yours? Get in touch and we'll look at your payment against this year's income and tell you if it still makes sense.

Employee or Independent Contractor?
Calling someone a "contractor" doesn't make it true 🤔 CRA looks at the real working relationship — not the label on the contract. Get the classification wrong and you could be on the hook for retroactive CPP, EI, and payroll penalties.

CTA: Not sure how your workers should be classified? Let's check it before CRA does.
