QuickBooks has five account types.

That’s it. Five.

Assets
What the business owns.
Cash, bank accounts, accounts receivable, equipment.

Liabilities
What the business owes.
Credit cards, loans, accounts payable, taxes payable.

Equity
The owner’s stake in the business.

Income
Money the business earns.

Expenses
Money spent to operate the business.

Every transaction in QuickBooks falls into one of these five buckets.

The first three (Assets, Liabilities, and Equity) appear on the Balance Sheet.

The last two (Income and Expenses) appear on the Profit & Loss.

That’s why your P&L and Balance Sheet look so different.

They are not showing the same thing.

Your Balance Sheet shows what the business owns, owes, and what belongs to the owner.

Your P&L shows what the business earned and spent over a period of time.

So if you’ve ever looked at your reports and thought:

“Why is this on one report but not the other?”

The answer is usually simple:

The account type decides where it shows up.

Knowing this one thing makes QuickBooks much easier to understand.
